You will be responsible for:
Provide a positive first impression to suppliers, customers & team members
Provide fast friendly and accurate information to team members & customers
Ensure all Stock Orders are done with the best possible cost price from the supplier and placed in time to ensure stock will be at office before it’s needed for the specific project or job
Ensure that Suppliers are managed properly to ensure a good relationship and help with better cost pricing and prioritised stock deliveries
Ensure that all stock received is correctly and timeously captured on QuickBooks / Eworks Manager
Ensure all Stock Returns and Warranty claims are done accurately and in an appropriate manner and Credit Note is received within 2 weeks
Ensure that all stock received is checked accurately and stored in the correct safe area
Ensure that all stock areas are kept neat and tidy
Ensure that all stock to be dispatched the next day is ready with paperwork before close of business the previous day
Ensure that the company pricelist is always up to date (Updated Monthly) and sent to all the relevant team members
Ensure the stock report is sent on a weekly basis with a focus on getting the stock moved when and where possible
Protect company physical and intellectual property assets and ensure confidentiality is maintained at all times
Follow all company policies and procedures and business principles
Escalate any unresolved problems or issues of importance to Management
Provide administrative support to management when needed
Internal documents are accurate, filed and up to date
Ensure that all deadlines are met within the given timeframe
Keep up to date with better methods to improve your performance and customer service levels
- **KPI’S**_
Purchase orders are placed and accurately captured on QuickBooks / Eworks Manager
Purchase Order Follow-ups done to ensure stock is delivered on-time
Accurately capture Supplier Invoices on QuickBooks / Eworks Manager
Minimum Stock levels are managed at all times
All Faulty & Warranty items tracked and managed accurately with minimum turn-around time (3 days). Warranty ETA sheet accurately completed and sent daily
Stock is managed properly & effectively: Vehicle stock, Daily stock used by teams, daily stock prep for next day done (Where possible). All book-outs done the day before
Pricelist is always up to date and all item costs are reviewed and updated monthly (With R$ fluctuations)
All reports are completed accurately and sent as per request timeline
All deadlines are met
All administrative Tasks are completed at the high standard set
**Qualifications**:
Matric/Grade 12 Certificate
Diploma / Certificate will be adv.
3-4 Years technical buying experience
Working knowledge of: MS Office (Word, Excel, Outlook) & QuickBooks
**Skills**:
Good communication skills and able to work well with a diverse team (Afrikaans & English)
Deadline orientated and work well under pressure
Attention to detail
Excellent time management skills
Positive and assertive attitude
A good team player
Ability to work both independently and in a team
Must be someone who is bubbly, humorous and pleasant
**Salary**: R20,000.00 - R25,000.00 per month
