Sales Administrator

**LOCATION**: DURBANVILLE
Objective
Under the direction of the Managing Director, and within the limits of our clients policies and procedures, to receive and accurately manage the Sales Representation companies administration.
Ensures the smooth and efficient operations in the Sales department through prompt, effective and proper service to achieve maximum exposure to meet or exceed the clients objectives.
Set up meetings with In-bound travel agents & Clients and listen to their wishes and concerns
Full accountability for sending STO rates to agents
Liaise with agents in a timely manner and assist with all queries coming into your inbox/sales inbox daily
Liaise with the reservations team daily and assist with agent queries where needed
Ensuring the Rate templates are always up to date with relevant trade special offers
Ensure that Sales Representation company website has all relevant special offers loaded/removed when needed (check validity dates of the special offers)
Pull monthly reports from Zoho on all STO rates that has been issued and save it into the specific client folder for the reservations team to review when STO rate requests come in
Overall accountability for the Sales Team appointment diary
Prepare and deliver appropriate presentations on products and services
Create frequent reviews and reports with sales and financial data
Gather feedback from customers or prospects and share with internal teams
Suggest and implement improvements in the sales administration process
Coordinate department projects to meet deadlines
Report on sales metrics and suggest improvements
Prepare monthly, quarterly and annual sales forecasts
Use customer feedback to generate ideas about new features or products
Research and discover methods to increase customer engagement
Set and track sales targets for your team
Build an open-communication environment for your team
Ensure the Sales CRM system Zoho is up to date and updated to company standard.
Ensure the bi-weekly newsletter is compiled and sent by the Marketing team.
Maintain and update sales and customer records
Oversee and contribute to the weekly, monthly, quarterly and annual Sales reports
Create and maintain the Sales budget for all local & overseas Sales trips
Research & Personal Development
Keeping abreast with tourism, consumer, marketing trends
Research new and updated CRM systems to enhance productively for clients
Attending courses and seminars related to hospitality and tourism marketing to incorporate new ideas within our strategies
Miscellaneous
**Creating a positive relationship with colleagues**: They are part of the internal approach NOT to work in silos but one company bringing the departments as one. Therefore, their interaction with Management and Employees are an example and needs to be a positive influence.
Travelling required
Valid Passport always required
Maintain a professional and positive attitude in all dealings with clients either on the phone or in person.
