Executive PA to CEO - Johannesburg EDUCATIONAL REQUIREMENTS
- Grade 12
- Diploma in General Office Administration. SKILLS/EXPERIENCE REQUIREMENTS
- Minimum 3 to 4 Years’ relevant experience in executive office
- Experience in Radio will be an advantage
- Valid driver’s license.
- Read
- Ability to read and comprehend instructions, short correspondence and memos.
- Write
- Ability to respond to common Inquiries or complaints from customers, regulatory agencies or members of the business community.
- Speak
- Ability to effectively present information and respond to questions from managers, clients, customers and the public.
- Excellent computer knowledge (Microsoft Word, Outlook, Excel and PowerPoint)
- Reconciliation of accounts
- Diary management of CEO
- Coordinate Diaries with internal and external office representatives (i.e.other PA’s or office admin)
- Responding to Invitations and arranging meetings / luncheons meetings.
- Book relevant function rooms for meetings.
- Screen incoming communication & correspondence.
- Collating and submitting CEO expense and claims
- credit card/petty cash/ travel.
- Sorting of documentation for CEO and confidential matters for Executive Management.
- Manage travel schedules and arrangements for CEO, KMR Management and staff, Clients and guest where required
- Travel arrangement include but not limited to: o Sourcing of flights o Booking flights with travel agent, getting confirmation and arranging with traveller. o Booking Vehicle (if required) o Booking suitable accommodation via internal process. o International Travel arrangements o Visa Application etc o Travel and accommodation arrangements for local and international consultants. o Arrange transport for shareholders / board members and visitors to and from airport. o Coordinating any other related logistics for any travel.
- Project management of all events and projects emanating out of head office
- Prioritise and manage multiple projects simultaneously and follow through timeously.
- Develop and maintain the annual projects calendar by identifying and documenting all the events
- Develop and maintain project plans per project
- Manage the implementation of the project plan by o Supporting the appointing, contracting and managing service providers o engaging and managing internal role players o providing feedback to sponsors as required within budget, deadlines and according to specification as required o tracking progress made on each project as well as next steps required
