- Maintenance of all company secretarial records and registers (paper and digital).
- Ensure all approved minutes of the meetings are signed by the Chairman of the Committee and filed in the minute books of:

- Board, Audit Committee, Capital Adequacy and Risk Committee, Directors Affairs Committee, Social, Ethics and Conduct Committee and the Remuneration Committee and Annual General Meeting, Corporate Social Investment Committee, and, Executive Committee
- Ensure Board and Board Committee resolutions are signed and filed in the minute books.
- Assist the Company Secretary with filing of statutory returns with CIPC i.e., COR39, Annual returns.
- Updating company documents with changes at the Board and management i.e., company letterhead, company website.
- Assist with the development of the Annual Meeting Plans for the Board Committees and management meetings.
- Scheduling of Board, Sub-Committees of Boards and Management Committee meetings;
- Coordinate travel itinerary of Board Members.
- Ensure that Board and Committee Members’ remuneration, claims and travel costs for attendance of meetings or Board related activities are accurately received, checked, and submitted to Finance as required.
- Arrange logístical requirements for Committee meetings (room bookings, catering, virtual meeting invites etc.).
- Assist the Company Secretary with adherence to Work Plans and Annual Calendar of Board and Committee Meetings.
- Collate Board, Sub-Committees of Boards reports from Executive management and manage the input into the Sherpany Board Room tool.
- Tracking and following up with management on matters arising.
- Tracking on the updating of policy manuals and following up with executive management.
- Ensuring that all updated policy manuals are uploaded on HHub.
- Assist the Company Secretary with updating membership of BASA, PASA and NPS.
- Assist the Company Secretary with following up with management on all correspondence with the Regulators.

Skills and Qualifications:

- CIS Professional Postgraduate or LLB/Law Degree with a minimum of 3 years’ experience in a Secretariat department.
- Legal support role will be advantageous
- Strong interpersonal and communication skills (oral and in writing) and the ability to work effectively with management.
- Document Management workflow skills
- Organising and Planning Skills
- Multi-tasking; resourcefulness
- Good working knowledge of Microsoft Office Package.
- Exceptional filing, recordkeeping, and organizational skills.
