**POSITION OVERVIEW**

The Assistant Activities Coordinator will assist in running AISJ’s Activities programs and shall assume the general responsibility for development, organization, and implementation of a high-quality events coordination activities (sports tournaments, performing arts showcases, model united nations, and other student co-curricular programs).

**MINIMUM REQUIREMENTS: WORK EXPERIENCE**
- A minimum of 3 years’ experience in sports events coordination or similar field
- Previous experience in the international or private school settings
- Ability to handle intense administrative duties linked to events coordination
- Previous experience in organizing large multinational events
- Coordinating school or sports events will be an added advantage
- Experience in using scheduling software system
- Experience in event management

**MINIMUM REQUIREMENTS: EDUCATION**
- Matric Certificate
- Tertiary qualification in Sports Management/Travel and Tourism, Events Management, or field that speaks to similar sets of skills
- Valid Passport and understanding of visa processes

**REQUIRED SKILLS**:

- Sports awareness and knowledge including, rugby, swimming, netball, volleyball, basketball, soccer, etc.
- Understanding and knowledge of events coordination including basic migration of students from one country to another
- Understanding of flight and hotel bookings, arranging passports and visa’s
- Knowledge of sports and tourism
- Ability to detect irregular behavior with students and report this for assistance
- Understanding of students and teenage behavior and sensitivity in dealing with their behavior

**REQUIRED BEHAVIORAL COMPETENCIES AND ATTRIBUTES**
- Attention to details, systems oriented, organized, analytical
- Strong administrative skills with ability to multitask and complete tasks
- Good communication skills in English and sound ability to communicate effectively across all levels

- The ability to function well under pressure, prioritize matters and act on them accordingly
- Able to work overtime as and when role and responsibilities require it
- Needs to be culturally aware with good ethics, problem solving and visionary thinking competencies
- Strong interpersonal skills with emotional intelligence
- Demonstrates follow through and complete tasks as assigned
- Ability to work extended hours during pick seasons
- Interpersonal effectiveness with all ages of children, teenagers and adults

**DUTIES AND RESPONSIBILITIES**

As the member of the Activities Department, provide support to the activities Program, but not limited to:

- Ensure comprehensive and timeous administrative support to the department
- Assist in the process of ensuring that visas for students applied for and collected accordingly
- Assist in the travel arrangements for students and accompanying school staff members
- Develop, organize, implement, and monitor a high quality Elementary, After-school Activities Program
- Assist with the organisation and running of AISJ tournaments and other school events
- Communicate with other schools create and then publish a games schedule for each athletic team
- Play a liaising role between the Activities Coordinator and other employees, students and parents
- Supervise students during bus duty each afternoon after ASAs has finished
- Identify and prioritise critical activities and manage work schedule to accomplish tasks
- Use discretion and maintain confidentiality where and when is required
- Create and update Activities Calendar and schedules
- Communicate and relay information clearly and concisely, both orally and in writing within the department, students and school at large
