EXECUTIVE VIRTUAL ASSISTANT

Administrative Virtual Assistant

Key Responsibilities:

- Co-manage access to calendars for OG Guard and Hope Creative, ensuring seamless

coordination of schedules.
- Organize and prepare agendas for various meetings; schedule and manage calendar

appointments to optimize executives' time.
- Ensure preparation for any pre-meeting requirements.
- Prepare, maintain, and update documents such as Google Docs, Statements of Work (SOWs),

and other necessary paperwork.
- Coordinate and manage relationships with vendors and clients, ensuring smooth operations and

communication.
- Use various apps to book executive-related needs, such as transport, office supplies, event

management, expense reports, and meals.
- Coordinate special projects, including creating Canva presentations, Google decks, financial

spreadsheets, special reports, and preparation of meeting materials.
- Assist with research and development tasks, providing support for strategic decision-making.
- Transcribe notes from AI / Virtual meetings; ensure the executive is informed of time-sensitive

and priority issues with appropriate follow-up actions.
- Support the executive in client negotiations, contract management, and other business dealings.
- Maintain Google Drive and files

**Requirements**:

- Proven experience as an Executive Assistant, Virtual Assistant, or similar role, preferably in a

corporate environment.
- Strong proficiency in Google Suite (Google Docs, Sheets, Slides) and Microsoft Office (Word,

Excel, PowerPoint).
- Excellent time management and organizational skills; ability to multitask and prioritize work

effectively.
- Exceptional communication and interpersonal skills, with proficiency in written and verbal English.
- Ability to handle confidential information with integrity and discretion.
- Familiarity with using various apps for bookings, event management, and administrative tasks.
- Experience in managing digital meetings, transcribing notes, and coordinating digital platforms.
- Flexibility to adapt to changing schedules and tasks as required.

**Experience**:

- Personal Assistant: 3 years (required)
