Executive Office Administrator

Key Responsibilities :
- Provide comprehensive administrative and organizational support to the Managing Director and Exco team
- Manage complex diaries, schedule meetings, send reminders, and coordinate catering for meetings
- Organize travel arrangements and accommodation for the Exco team
- Prepare board packs and assist in minute-taking during board meetings
- Compile and manage expense reports and invoices
- Handle financial investigations, bookkeeping tasks, and petty cash management
- Order office supplies and manage inventory levels
- Assist with the planning and coordination of special projects and company events
- Oversee the scheduling of routine maintenance, repairs, and upgrades of company vehicles, ensuring fleet performance metrics are tracked and analyzed
- Communicate effectively with drivers and resolve operational issues promptly
- Prioritize the safety of drivers and vehicles, ensuring accurate records of fleet assets and driver performance
Requirements :
- Minimum of 2 years' administration experience in a similar role
- Relevant tertiary qualification
- Advanced skills in MS Excel and PowerPoint
- Strong organizational skills with a keen eye for detail
- Excellent communication skills, both written and verbal
- Ability to manage time effectively and meet deadlines under pressure
- Must have reliable transport and a valid drivers license
- Presentable with a positive and strong personality
- Ability to work overtime when needed
