Personal Assistant to the Director East London

Key Responsibilities
  • Provide administrative and executive assistance
  • Office administrative, secretarial or equivalent assistance
  • Manage, coordinate and maintain the diary of the Director
  • Coordinate all aspects of meetings, workshops and functions according to Director's requirements and within budget parameters
  • Prepare administrative presentations and minutes within agreed timeframes
  • Manage incoming calls and correspondence (paper and electronic), responding independently where possible
  • Ensure files (paper and electronic) are kept in order and easily accessible by the Director
  • Prepare and check invoices and arrange for payments to ensure adherence to Service Level Agreements
  • Monitor and respond to incoming communication on behalf of the Director, ensuring efficiency and timely responses
  • Familiarity with the litigation lifecycle and ability to diary files for actioning
  • Perform executive and oversight tasks in the place of the Director and analyze data to monitor the performance of others
  • Receive and execute instructions from the company's professional staff
Minimum Requirements
  • Valid driver's license
  • Must be fluent in English (able to speak or equivalent qualification)
  • Fluency in isiXhosa would be an advantage
  • Must be organized
  • Ability to work independently
  • Strong written and verbal communication skills
  • 3 years previous working experience in a legal environment
  • Exposure to supporting a director of a law firm (desirable)
