We are recruiting for a Contracts Administrator with Oracle experience who will be responsible for supporting all activities related to the operations from the administration point of view and working together with the Contracts Managers. Keep Head informed about any potential issues related to the department which might affect plant performance/production. Assist the department in ensuring maximum production, plant availability, and optimization of O&M costs.
Key Responsibilities and Experience
Duties & Responsibilities
- Creation of purchase requisitions (PR), purchase orders (PO), and service entry sheets (SES) on Oracle (Fusion/On premise).
- Update and monitor the contract payment trackers. Ensure that all invoices are processed on EGP Finance tool (OIP) and that suppliers are paid on time. Raise tickets and follow-up on outstanding payments.
- Attend AFC weekly meetings and support the whole O&M department in following up on outstanding invoices/SESs which might have been raised during the meetings.
- Ensure that all POs and SESs are created on/by the 25th of each month and that all invoices are received from the suppliers before the end of each month.
- Assist Contracts Managers to prepare procurement tender packages for all procurement contracts and ensure that all documents are properly filed on EGP SA's documentation management system.
- Ensure proper filing of all contractual documents on EGP SA's documentation management system e.g. Contracts, Monthly reports, Contract amendment documents, Invoices, Board resolution.
- Support the head of Maintenance Services in planning activities related to the maintenance services department (events, meetings, trainings, etc.).
- Support the OMI department in monitoring Maintenance Services KPIs e.g. use of Delegated Purchase, Supplier Performance Management, Needs Planning on Smart Planning tool follow-up with relevant stakeholders on critical items to ensure compliance.
Desired Experience & Qualification
Diploma in Administration or equivalent.
Knowledge and Experiences:
- Computer packages knowledge.
- Experience in the electrical industry will be an advantage.
- Experience in contracts management will be an advantage.
- Oracle experience (Fusion/On premise) and knowledge or use of similar tools is a must.
Skills:
- Fluent English.
- Team player.
- Initiative.
- Flexibility.
- Results Orientation.
Required:
- Availability for travelling.
Package & Remuneration
Contract: 6 Months
Salary: R 15 000.00
Location: Johannesburg-CBD
