The UJ Postgraduate School (PGS) is a support structure to all postgraduate students and postdoctoral research fellows (PDRFs).

One of the areas in the PGS mandate is the holistic life cycle support of PDRFs throughout their relationship with the UJ, including liaising with internal and external service providers and partners to manage and administer bursaries and scholarships linked to PDRF funding from various sources.

Responsibilities:

  1. Efficient allocation, award, and replacement of fellowship and bursaries within the relevant procedures, processes, and policies.
  2. Provision of a single point of access to Life Cycle support to PDRFs.
  3. Management of PDRF contracts.
  4. Ensure compliance with Governance requirements.
  5. Perform Audit facilitation when required.
  6. Uniform and consistent application of procedures, processes, and policy regarding PDRFs.
  7. Ensure that PDRFs' documents are verified as outlined in the policy.
  8. Arranging and coordinating workshops (internal and external) to various stakeholders.
  9. Provide an accurate and up-to-date monthly report on PDRFs to all relevant stakeholders.
  10. Keeping abreast of compliance requirements concerning PDRFs (e.g., SARS Binding Class Ruling, national PDRF Guidelines, etc.).

Minimum Requirements:

  1. Degree (NQF 7 or equivalent) in Finance / Governance / Risk Management.
  2. 3 to 5 years' proven experience in liaising and collaborating with all internal stakeholders in providing holistic lifecycle support to PDRFs, including Finance, Faculties, and Partners in Holistic Life Cycle support (Global Engagement, Strategic Initiatives and Administration, the Student Enrolment Centre, Accommodation, etc.).
  3. 3 to 5 years' proven experience in dealing with internal and external funders (working with the budget and accurate reporting is essential).
  4. 3 to 5 years' proven experience in financial management and coordination.
  5. 3 to 5 years of relevant experience within a tertiary environment working with Postgraduate students / post-doctoral fellows, academic and support stakeholders' structures, systems, policies, and procedures.
  6. Computer Literacy in Microsoft Office and ITS / Oracle or similar.
