Client Engagement Executive Position: Permanent Position Overview The primary purpose of this role is to ensure the efficient and accurate management of customer orders from quotation through to delivery and invoicing, supporting Viadex’s commitment to exceptional service, operational excellence and profitability. Acting as a central liaison between internal teams and customers, this role ensures smooth coordination across Sales, Procurement, Finance and Logistics. Key Responsibilities Order Management Quote and Order Processing: Accurately process all incoming customer orders and quotes through Viadex systems (SageX3 and Microsoft Dynamics), ensuring 100% adherence to quote SLAs and on-time delivery. Validate information for completeness and accuracy, coordinating with purchasing, logistics, and finance to ensure smooth processing and invoicing. Support quote curation to maximise gross profit, conducting price comparisons and ensuring Viadex achieves optimal vendor terms. Identify opportunities to improve quote quality and minimise customer queries or rework. Backorder and Inventory Management Review daily back-order and alerts reports, proactively following up with purchasing to maintain fulfilment timelines. Participate in aged stock analysis and support bill-and-hold procedures in line with Viadex’s inventory management processes. Stakeholder and Customer Communication Internal Coordination: Act as the communication hub between Sales, Procurement, Finance, and Logistics to ensure accurate and timely information flow across departments. Maintain CRM updates on order status, client interactions, and delivery progress. Customer Interaction Build and maintain strong customer relationships through proactive communication. Provide timely updates, handle queries professionally, and ensure customers are informed of order progress from quotation through to delivery and invoicing. Sales and Opportunity Support Account and Opportunity Management: Work closely with Account Managers to identify upsell or cross-sell opportunities, re-engage dormant accounts, and support lead generation from vendor relationships. Quotation Support: Prepare and issue customer quotations for standard or configured solutions. Collaborate with the logistic, procurement and technical teams to ensure pricing accuracy and service detail, aligning with Viadex’s value proposition.
