Admin Assistant

Requirements:
Proficiency in both English and Afrikaans
Experience in administrative roles with strong organizational skills
Ability to work with NHM (Notarial & Holograph) documents
Accurate record-keeping skills with a keen eye for detail
Foresight in anticipating needs and proactively addressing them
Trustworthy and able to handle confidential information with discretion
Familiarity with financial processes and reconciliation
Duties:
Reconcile creditors when necessary and follow up on supplier queries and discrepancies
File proof of payments to remittance advices in the "To-pay" files
Update credit card slips spreadsheet and obtain sign-off
Scan receipts and slips for record-keeping purposes
Capture expenses and receipts on Excel for petty cash management
Distribute money when needed and manage the petty cash box
Manage the company debit card
Check exchange rates and book exchange rates as required for exports
Send documents to foreign exchange supplier (Kuda) and verify their accuracy
Provide supporting documents for payment and proof of payment to the foreign exchange supplier (Kuda)
Send payment advice to suppliers
Monitor stock levels on a daily basis and ensure accurate reflection through intercompany journals and invoices
Generate and provide daily, weekly, and monthly stock reports to management
Provide assistance in stores when required and track stock levels on customer portals
Handle general PA duties as needed
Manage Seta communications, registrations, and inquiries into new opportunities
Assist with SAHPRA applications, renewals, and licenses
Coordinate birthdays, anniversaries, and special occasions
Manage shopping lists and procurement as necessary
