Logistic Coordinator

Job Purpose: The Logistics Coordinator is responsible for managing the fleet of the company, compiling and executing an optimised daily transport schedule, assisting other departments with transport-related queries and interacting regularly with internal and external clients. The role requires the ability to take initiative and responsibility for daily duties. The role requires working long and irregular hours and the successful candidate must be available after hours for any operational query and or issues. The Logistics Coordinator must complete tasks with enthusiasm and a positive attitude.People Management: The Logistics Coordinator will work closely with other departments and build work relationships with all involved. Responsibilities include:Building healthy relationships with co-workers, supervisors, and managementConducting oneself according to the disciplinary code and following all rules, regulations, and policies of the companyLooking after the wellness of co-workers and reporting areas of concern to the Logistics ManagerReporting any unlawful activities in work areas and avoiding involvement in such activitiesEstablishing courses of action for self and others to ensure work is completed effectively and efficiently.Setting high-performance standards for self and subordinatesFacilitating the completion of team goalsVehicle Utilization, Maintenance, and Tracking:Liaising with all drivers, internal clients, and border controlExecuting the schedule created by the Divisional ManagerMonitoring Truck & Trailers via various satellite tracking systems and booking repairs for faulty units.Coordinating vehicle maintenance schedules to ensure they are safe and in a roadworthy condition (license renewal)Maintenance of vehicles: Booking vehicles with internal and external workshopsPerforming any other work-related duties and responsibilities assigned by management.Compliance:Identifying trends and poor driving behaviourPre- and post-vehicle delivery inspectionsAttending to the administration of the company’s vehicle policy to ensure compliance.Accident and incident reporting and investigation.Reporting all corrective/disciplinary action that must be taken against drivers to the Divisional Manager to maintain a disciplined environment.Record Keeping:Maintaining all necessary records to ensure that vehicles provided by the company comply with legal and business requirements.Controlling the quality and accuracy of documentsEnsuring that all speeding fines are paid, submitting fines to drivers, arranging for payments of fines and following up on outstanding items.Administration and capturing of yard lists.Collection of driver’s admin and capturing such data on the systemCapturing of completed trips.Reporting:Compiling and submitting reports relating to vehicle utilization, maintenance, and tracking on a daily/weekly/monthly basisProductivity:Being available after hours (Mobile Phone) and willing to work long and irregular hours.Giving instructions and directions, including ensuring that drivers clearly understand instructions.Reporting verbally on specific incidents, problems encountered in the performance of tasks, the state of infrastructure, machinery, or tools, etc. to the Workshop ManagerFinalizing jobs with the necessary responsibility and cost-effectivenessEnsuring that all driver personnel that report to him/her are always utilized effectively and efficiently during operational hours.Planning and organizing work in advance to eliminate idle time.Ensuring correct usage of tools and equipment to enhance productivity and safely storing to eliminate damage and/or theft.Developing, implementing, and monitoring processes to ensure a quality product first time.Ensuring correct usage of electronics (Computers, etc.) to improve productivity.Minimum Qualifications:High School diploma or equivalent. Formal Transport/Logistics Management Training is preferred.At least 8 years experience in transport/logistics coordination or related field, emphasizing heavy-duty long-distance transport services. Cross-border experience will be advantageous.Experience:Experience in fleet management, logistics coordination, or a related field is preferred.Experience in dealing with internal and external clients.Experience in creating and executing transport schedules.Experience in vehicle maintenance and trackingKnowledge of relevant laws and regulationsRequirements:Strong organizational and planning skillsStrong communication and interpersonal skillsAbility to work well in a team environment.Strong attention to detail and ability to work under pressure.Strong computer skills, including experience with logistics management software and satellite tracking systems.Willingness to work flexible hours, including evenings and weekends as needed.A valid driver’s license and own transport.Ability to pass a polygraph test, background check, and drug test.
