Overview:
As an Operations Administration Manager in the automotive industry, you will be responsible for overseeing administrative operations within the company. Your role will involve managing various administrative tasks to ensure smooth and efficient operations across different departments. You will work closely with other managers and team members to streamline processes and enhance productivity.

Key Responsibilities:

Administrative Oversight:

Manage day-to-day administrative functions within the organization.
Develop and implement administrative policies and procedures to improve efficiency.
Ensure compliance with company policies and regulatory requirements.

Team Leadership:


Supervise and mentor administrative staff, providing guidance and support as needed.
Delegate tasks and responsibilities effectively to ensure optimal performance.
Conduct regular performance evaluations and provide feedback for continuous improvement.

Facility Management:

Oversee facility maintenance and operations, including workspace organization and cleanliness.
Coordinate with vendors and service providers to address maintenance issues promptly.
Ensure that the facility meets safety standards and regulatory requirements.

Inventory Management:

Manage inventory levels of office supplies, equipment, and materials.
Coordinate with procurement teams to ensure timely replenishment of supplies.
Implement inventory control measures to minimize waste and reduce costs.

Financial Management:

Assist in budget planning and monitoring for administrative expenses.
Review and approve invoices, expense reports, and other financial documents.
Identify cost-saving opportunities and implement strategies to optimize spending.

Document Management:

Establish and maintain efficient document management systems.
Ensure accurate record-keeping and document retention in compliance with legal requirements.
Implement digital solutions for document storage and retrieval to enhance accessibility and efficiency.

Communication and Coordination:

Facilitate communication between different departments and teams.
Coordinate meetings, conferences, and other events as needed.
Serve as a liaison between management and staff, addressing concerns and providing updates as necessary.

Continuous Improvement:

Identify areas for process improvement and efficiency gains.
Implement best practices and innovative solutions to enhance operational effectiveness.
Lead initiatives to streamline workflows and optimize resource allocation.

Qualifications and Skills:

Bachelor's degree in business administration, management, or a related field.
Must have Proven experience in administrative management, in the automotive industry.
Strong leadership and team management skills.
Excellent organizational and time management abilities.
Proficiency in Microsoft Office and other relevant software applications.
Knowledge of regulatory requirements and compliance standards.
Excellent communication and interpersonal skills.
Analytical mindset with a focus on continuous improvement.
Ability to multitask and prioritize tasks effectively.
Problem-solving skills with a proactive approach to challenges.
