Programme Scheduling


Ensuring that error free schedules are created within the broadcast management systems with complete and/or end to end processes of scheduling to be completed within 10 working days of receiving information from the relevant planner.

Ensuring that programme schedules are completed and submitted 3-6 months in advance, as received from the schedule planning department.


Ensuring that programmes are scheduled at the correct starting times and ensuring that series programmes are scheduled within the correct running orders.

Ensuring break templates are allocated accurately to scheduled events and slot durations are accurately calculated.


Working across multiple channels and ensuring that the channel schedules are produced according to channel standards, strategies, and budgetary requirements, with mínimal errors to prevent inventory wastage.


Working cooperatively and pro-actively with other departments across the business and be the primary point of contact for schedule related queries.

Ensuring that programme break patterns are created and analysed for implementation across channels and platforms.


Managing the workflow of the team, ensuring that channel schedules are assigned rotationally so that each team member works on different channels at least for 6 months.


Familiarising and remaining up to date with channels performance rating reports and maintaining up-to-date knowledge of competitor schedules, competing programme launches and major competitive initiatives.


Stakeholder Liaising


Identifying errors and investigating before broadcast and ensuring that any errors identified are immediately communicated with the relevant department for resolution, to prevent inventory mismanagement and potential revenue loss.

Ensuring all programming contracts related issues are identified, investigated, and communicated with Head: Programming Administration.


Identifying and resolving departmental queries affecting schedulers' channels and resolving queries within 1 working day of receiving the query, prioritising depending on the urgency of the matter.

Communicating various issues affecting the schedules with the relevant departments as soon as they are identified. The departments include but are not limited to Commercial Time Sales ('CTS'), Media Operations, Presentations and Programme Coordinators.

Monitoring


Ensuring that all the scheduled information is accurate and up to date, by checking that the content is within the license period and that the various channel rights are valid.


Overseeing, coordinating, and ensuring that all programme changes are implemented and filtered across channels timeously thus ensuring that all programme changes are communicated to the relevant parties within the required deadline, as determined by operational requirements and that priority is given to urgent programme change.


Monitoring all outstanding or un-transferred media and ensuring that programme schedulers are updating and implementing changes to the schedule, when required.


Reporting


Ensuring that Programme Schedulers compile reports, detailing planned/ wished programmes that are not yet in the BMS and creating space holders for them, while waiting for programming contracts to be captured in the system.


Sending reports to relevant stakeholders, such as Acquisitions and Programme Coordinators, and then following up on the status of the wished programmes on weekly basis.


Assisting in compilation of advert log reports quarterly and annually, checking sponsorship elements and liaising with CTS should the allocated commercial time be exceeded.

Daily checking of Final Control Centre reports, to see changes implemented after hours due to unforeseen circumstances.


Checking and reconciling of monthly As-Run reports to ensure that all scheduled programmes went to air and linked correct contracts.


Checking and compilation of monthly Free Play reports for the Finance Department to ensure that programme runs are correctly costed and indicated in the schedule, e.g., premier run, repeat or free play.

Assisting with updating SOPs and upload them on a shared folder where everyone can easily access them.

Training & Development
Helping to establish, documents and maintaining training standards and documents for the Programme Schedulers.


Assisting with new appointments and employee performance appraisals, as well as managing poor performance by assessing employee and coaching/ training as required.


Continuous training and monitoring to ensure that the team is equipped and skilled to the level where they can perform their duties to a high standard.

Identifying relevant training and professional development activities in accordance with the departmental objectives and within budgetary constraints.
