Senior Sets and Staging Project Manager

As the Senior Project Manager for the Sets and Staging Department, you will play a pivotal role in overseeing the end-to-end management of projects, from conceptualisation to completion.

Your primary responsibility will be to ensure the successful delivery of projects within the allocated budget while maintaining high-quality standards and adhering to strict timelines.

Your financial acumen, effective project management skills, and focus on health and safety will be critical to your success in this role.


Key Responsibilities:

Financial:

  • Take full ownership of project budgets and ensure adherence to the profit margin guidelines. Promptly identify and address any issues related to profitability, potential rebudgeting, or scope changes.
  • Evaluate the feasibility of reusing existing set pieces for revenue generation and costsaving opportunities.
  • Approve all setrelated expenses, negotiate with suppliers to secure the best prices, and manage freelance invoices.
  • Ensure timely closure and invoicing of projects within 15 days of completion, with all supporting documents included in monthly reconciliation.
  • Provide detailed quotes for projects and follow up on the status of pending quotations.

Effective Project Management:

  • Ensure all technical specifications align with project briefs and creative vision.
  • Develop and maintain project timelines, keeping all relevant stakeholders informed about deadlines.
  • Collaborate with the Creative and Executive Producer to set and manage project specifications effectively.
  • Oversee the creation and continuous management of project plans, providing necessary crew logistics information when required.
  • Facilitate seamless communication and collaboration among team members, holding regular status meetings and collaborating with other Project Managers as needed.
  • Manage and organise construction drawings, job files, and site layouts to ensure smooth project execution.
  • Brief and work closely with the warehouse manager to coordinate the storage and retrieval of necessary materials and equipment.

Health And Safety:

  • Prepare comprehensive Health and Safety files for each project and ensure their presence at all project sites.
  • Facilitate structural signoff for set elements by coordinating inspections with qualified engineers for all events.
  • Enforce adherence to health and safety protocols among all staff, freelancers, and suppliers involved in each project.

Onsite:

  • Conduct thorough site briefings and scheduling to ensure efficient project execution.
  • Oversee the layout implementation, making necessary adjustments to meet project requirements.
  • Supervise the build process, closely managing deadlines and ensuring compliance with specifications.
  • Obtain client signoff on completed projects, addressing any concerns promptly.
  • Coordinate breakdown and clearing activities, ensuring adequate resources and smooth crew transportation arrangements.

Required qualifications and skills:

  • Proven experience in project management within the events or construction industry.
  • Strong financial acumen and experience managing budgets and profit margins.
  • Excellent organisational and time management skills to handle multiple projects simultaneously.
  • Effective communication and interpersonal skills to liaise with team members, clients, and suppliers.
  • Indepth knowledge of health and safety regulations and their implementation in event construction.
  • Strong problemsolving abilities to address challenges and obstacles during project execution.
  • Attention to detail and a commitment to delivering highquality work.
