Job Summary

To assist in Administering Project Online (POL) System:

  • Templates
  • Incorporating the continually changing landscape for Business which entails updating and creating new Project schedule templates. (Across all Clusters and Business Units for SI and BAU projects.)


 Security
  • Catering for organisational structure and security changes and aligning POL to be in sync.
  • Project Data extracting specific adhoc project information and sharing of same


 Communication
  • Assist in communicating project/program/portfolio information across Business Units.


 Resource Pool
  • Updating the Resource Pool and keeping aligned with ABSA's bespoke Project and Program Management system "Planex".


 Reporting
  • Producing and updating customised reports.


 Support
  • To support the Project Online Manager with the daytoday activities of keeping the Project Online (POL) system updated and syncronised with ABSA's bespoke Project and Program Management system "Planex".


 Training
  • To continually upskill the POL users by training, guiding, and assisting all users of POL.
Onboarding New PM's - Ensure that Project Managers are onboarded according to the standardised process applicable. (Configuring Desktop, Training, and complying with the "Do's and Don'ts" principles.)


Support Desk - Manning the Project Online Support Help Desk and assisting Project Managers with any form of schedule management, support, and training.


Job Description:

Key Tasks and Accountabilities Summary

  • Train and support the upskilling of Project Managers, to successfully plan and execute their Project Schedules, by following the prescribed standards, methodologies, and best practices.
  • Perform daily checks to ensure that Project Online is in sync with ABSA's bespoke Project and Program Management system "Planex".
  • To extract various datasets utilising Power Query and producing various reports and extracts for validating and controlling Project Online (Data Extracts are from Planex and Project Online)
  • Create new, update and maintain "Standard Operating Procedure" (SOP) documentation.
  • Crosscheck and interrogate the discrepancies and errors that are highlighted via the daily extracted data sets and reports.
  • Logging any changes required for POL with the Change Management Team for logging, tracking, and implementing the changes.
  • Monthly Backups of all the projects schedules
  • To ensure that newly licensed Project Managers are "onboarded" and are taken through the prescribed "best Practices", as well as the "Do's and Don't" of Project Online Schedule Management.
  • To ensure that the Resource Pool is in sync with ABSA's internal Project Management Solution (Planex).
  • Ensure that unused Licenses are redeemed and that licensing is monitored and controlled.
  • Resolve and respond to all queries within the prescribed Service Level Agreements.
  • Set Baselines according to the procedures stipulated.
  • Track and maintain "Cross-Project Dependencies" and recommend appropriate actions where there are areas of concern.
  • Act as an objective and honest champion for the Finance Change PMO and the SI Portfolio.
Key Objectives of the Role

Updating Microsoft Project Online (POL)

  • Assist in the continual updating of the Microsoft Project Online (POL) instance, to accommodate the continually changing landscape of Project Management.
  • Keeping Project Online syncronised with Planex. (Planex is the golden source of Project metadata)
  • Validating the "schedule content" across all projects for discrepancies and contentious issues/tasks that are not following our "Best Practice" and guiding principles.
User and Resource Management and Training

  • Provide resource management, training, support and guidance to users.
  • The Project Online Resource Pool is aligned with the Planex Resources
  • Importing of New Resources
  • Newly Licensed Users are Onboarded.
  • Train, Support and upskill the Project Managers
Project Online Help Desk Support

  • Resolve and respond to all queries within the prescribed Service Level Agreements.
  • Set Baselines according to the procedures stipulated.
Project Management Tooling Landscape

  • Keeping abreast with the Project Management Tooling Landscape. (Tools, Methodologies, Functions, etc.)
  • Advanced knowledge and skills for Project Online are required to train Project Managers, Programme Managers, Portfolio Managers, and Team Members.
  • In addition, training and assistance with the use of various Tooling options are available for planning and executing their projects.
