POD Admin Assistant

Outsourced CFO is searching for a highly motivated and detail-oriented admin professional to provide crucial support to the POD structure, ensuring smooth operations within the Cloud Accounting Department.
Responsibilities:
- POD Administration
- Assist in various administrative tasks assigned by the Cloud Accounting Practice Administrator, POD Leaders, and Accounting Consultants.
- Facilitate the signing of client documents by POD team members.
- Help with SARS e-filing notifications and allocation to team members.
- Ensure all team members sign attendance registers post-training events.
- Perform data entry tasks, update client information, financial records, and relevant data for the POD.
- Prepare and format documents, presentations, and spreadsheets as needed.
- Coordinate meetings, appointments, and conference calls for POD team and clients.
- Ensure timely submission of weekly timesheets.
- Review monthly budget vs. actuals and submit timesheets before COB on Fridays.
- Manage administrative tasks such as client onboarding, offboarding, rescopings, and proposals creation.
- Handle Zoho Project management tasks, including overseeing projects, adjusting due dates, team allocations, and assigning new projects.
- Assist with monthly planning meetings scheduling and coordination.
- Review team capacity on Zoho Analytics and align it with budgets based on client payments and time spent.

The ideal candidate should possess a High School Diploma or equivalent, with additional education in office administration considered a plus.
