POSITION SUMMARY

Responsible for established procedures in receiving, storing, distributing, and capturing invoices. Support/Assist in stores and cost control. Perform other duties as required.

Education and Experience

  • Computer literate, Microsoft Word & Excel essential
  • Knowledge of Micros Materials Control or similar systems and numeracy essential
  • Previous experience in receiving, purchasing, stores & inventory control in a similar environment
  • Data capturing experience
  • Ability to work independently
  • Diploma in warehouse management, purchasing management, or stock control/stores management advantageous
  • Flexible working hours
  • Maintain readiness to perform other department duties
  • Team-focused and strong team leader
  • Excellent communication skills, personable

Core Functions and Duties

Take responsibility for day-to-day receiving department operations. Understand cost throughout the Hotel, suggest and implement cost-control measures.

  • Report directly to the Financial Manager
  • Help ensure efficient receipt of all items in the loading bay, following Marriott policies and procedures
  • Supervise that all products are delivered through the receiving bay, with invoices stamped and signed per hotel policy
  • Ensure correct receipt of all items, issue credit notes for incorrect deliveries
  • Supervise deliveries and delivery personnel, ensuring stock security
  • Immediately move received stock to the relevant store
  • Check received items for various parameters like Weight, Packaging, Quality, etc.
  • Clean receiving area and equipment daily, report maintenance needs
  • Follow correct parcel handling procedures and maintain accurate parcel records
  • Log Delivery & Credit notes, follow up on invoices daily
  • Inform the chef of perishable food item receipts, check goods quality
  • Organize delivery vehicles to avoid loading bay congestion
  • Note returns, underages, and overages on supplier's delivery notes or invoices
  • Check receiving temperatures of perishable goods and delivery vehicles
  • Date stamp perishable and shelf-life goods upon delivery
  • Notify users of non-inventory stock to collect items
  • Match invoices to orders, investigate price differences
  • Ensure timely capture of all invoices
  • Report non-deliveries to the Cost Controller
  • Maintain staff morale and job satisfaction
  • Batch invoices daily for review
  • Complete all daily departmental duties

PREFERRED QUALIFICATIONS

Education: High school diploma or equivalent

Related Work Experience: Minimum 1 year of related work experience

Supervisory Experience: No supervisory experience required

License or Certification: Not required
