What this role entails:
To provide administrative service and support to the Head: executive support and governance in managing specific aspects of the group's company secretarial and executive support functions.
To provide administrative support to the chief financial officer (CFO), as required and agreed.
Responsibilities:
Preparation and circulation of minutes
Transcription of minutes from recordings of board and executive meetings
Board resolution preparation and signature collation
Draft, or prepare on instruction, draft resolutions for approval including obtaining and collating signatures, as required
Preparation of board and executive meeting packs
Upload documents to the STADIO Holdings website and maintain aspects of the website as required.
Assist with the collation, preparation and review of information required for the STADIO Holding's Integrated Annual Report
Gather and collate BBBEE information for reporting purposes and onward transmission to BBBEE consultants as instructed
Corporate governance
Effect all changes on CIPC / Bizportal
Ensure CIPC reporting is up to date
Ensure applicable policies and terms of reference, as required, are updated and remain relevant and circulate for approval
Fulfil various selected tasks and provide administrative support as required including, inter alia:
Administration of the STADIO Khulisa Student Share Scheme
Providing administrative support to the CEO's office as required
Assisting in the provision of company secretarial information as required by the auditors
Fulfil various selected tasks and provide certain administrative support to the CFO, as required
Minimum requirements:
Three years' experience fulfilling administrative aspects of a company secretarial or equivalent function
Secretarial diploma or equivalent
Key attributes:
Knowledge of:
Excellent knowledge of document preparation and layout
Knowledge of meeting procedure and minute taking
Basic knowledge of JSE governance or company legal requirements is desirable
Basic knowledge of BBBEE legislation is desirable
Skills and abilities:
Ability to deal with confidential and sensitive information with extreme discretion and integrity
Able to listen, absorb and concisely translate verbal discussions and information into written information
Excellent English literacy and writing skills
Accurate, with excellent written presentation skills
Attention to detail
Planning skills
Calm and methodical
Able to work under pressure and to deadline
Stakeholder relationships in particular at board and executive level
Advanced Excel and Word skills
Good PowerPoint skills
Calm and professional demeanor
