Objective

Proven track record in resolving complex customer issues and implementing workable solutions is essential.

They must be able to give an excellent performance, and to translate experience, knowledge, skills, and abilities into value for the organisation.

They need to be skilled at multi-tasking and work independently with proven problem-solving skills. They must have at least 5 years' experience in the medical field and must love working with children.

  • The Medical Office Administrator shall be responsible for the efficient, effective and safe management of the Practice, and ensure the wellbeing of patients, doctors and staff, and the successful smooth running of the Practice
  • Responsible for assessing, developing, planning, implementing and recording not only the needs of our patients and their parents but also the business' requirements. Being able to communicate appropriately is vital for this role and will need to show empathy and sensitivity when speaking with the children and their parents or caregivers
  • The main goal of our Practice is to promote child health and the Medical Office Administrator will need the ability to understand the goals of our practice and work to obtain these goals, both independently and, with my direction

Responsibilities

1.

Promoting patient care:


  • Protection of patient privacy and confidentiality
  • Assisting wherever possible with weighing and growth parameter measurements of patients
  • Followup patient test results and communication with patients where appropriate
  • Counselling, advising and providing information under health provider guidance
  • Health screening
  • Acting as a chaperone as and when required
  • Assist in managing the KanBan Board
  • To comply with all the relevant policies, procedures, guidelines, protocols and codes of conduct of our Practice

2. Maintaining and improving health services

  • Ongoing health education and advice including health counselling to improve health and prevent disease
  • Uptodate knowledge of immunisation programmes
  • Assisting with the sending of electronic prescriptions and medical reports
  • Assisting the practice sister with managing, motivating and coordinating the RSV vaccination, _Synagis,_ programme
  • Ongoing care and support for people with chronic conditions.

3. Coordinating care

  • General interface between the patient and the various services that may be required to assist their wellbeing or recovery
  • Development of collaborative working relationships with other health care providers
  • Assisting with writing referral letters and compiling patient reports as required
  • Assisting with the timeous referral document delivery to the relevant referred health care providers
  • Assisting with the monthly neonatal document delivery to the relevant gynaecologists
  • Ensuring locum call rosters are accurate and delivered to the wards on time

4. Communication

  • Excellent telephone manner
  • Sound communication skills, with the capacity to communicate effectively with colleagues, staff, patients and other health care professionals
  • Ability to communicate verbally and in writing
  • Ability to read, write and understand English and Afrikaans
  • Accuracy and attention to detail regarding all clinical records, is vital
  • All patient interactions must be recorded in the patient diary and clinical files within

5. Administrative

  • Managing the daytoday operations of the Practice
  • Working as a team to ensure the practice runs effectively and meets objectives
  • Plan, schedule, allocate and prioritize workload to meet operating requirements
  • Training, and supervising administrative staff
  • Collaborating with Dr Angela & medical personnel to develop and assess business strategies and standard operating procedures and protocols
  • Assist in establishing and implementing operating procedures to deliver quality medical care to the patients.
  • Perform clerical and administrative duties that facilitate laboratorytocaregiver information flow
  • Implement updating of outstanding policies and procedures for the practice management and update existing documents
  • Responsible for regularly reviewing practice systems and improving procedures in line with statutory requirements and general efficiency
  • Assist in managing backoffice tasks: provisioning of medical supplies and care, interfacing with supply companies, and accurate filing procedures
