Key Responsibilities:

Executive Support:

  • Manage executives' calendars, appointments, and meetings.
  • Coordinate and arrange travel itineraries, accommodations, and logistics.
  • Assist in preparing presentations, reports, and correspondence.
  • Handle confidential and sensitive information with discretion and professionalism.

Financial Management:

  • Assist in budget preparation and monitoring.
  • Process expense reports and invoices accurately and in a timely manner.
  • Maintain financial records and documentation.
  • Reconciling of financial statements / credit card statements, monthly for the Executive team.

Reception Duties:

  • Greet and welcome visitors to the office.
  • Answer and direct phone calls in a courteous and efficient manner.
  • Manage incoming and outgoing mail and deliveries.
  • Managing the reception and building boardrooms and offices, including locking up and closing windows.

Administrative Support:

  • Maintain office supplies inventory and order as needed.
  • Assist in coordinating office events and meetings.
  • Perform general administrative tasks such as filing, scanning, and data entry.

Travel Planning and Booking:

  • Research and book travel arrangements for executives and staff.
  • Ensure travel plans align with budgetary constraints and company policies.
  • Handle travelrelated logistics and provide support during trips as needed.

General Activities:

  • Ensure the management and control of the main building.
  • Ensuring the building supplies and Cleanliness is managed.
  • Arranging of functions and function venue setup up when required.
  • General Ad hoc activities, required by the Executive Team.

Requirements:

  • Effective Communication: Ability to communicate clearly and professionally both verbally and in writing.
  • Excellent Timekeeping: Strong ability to manage multiple tasks and prioritize deadlines effectively.
  • Above Average MS

Office Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Organization Skills:
Demonstrated ability to maintain high levels of accuracy, attention to detail, and organization in all tasks.

  • It is a requirement from time to time that you may be required to collect items on route to work or other times, therefore it would be favourable if you have your own car.

Preferred Qualifications:

  • Previous experience as an executive assistant, office manager, or in a similar administrative role.
  • Familiarity with financial management principles and software.
  • Experience in event planning or coordination.
  • Bachelor's degree or equivalent qualification preferred.
