Job Title: Operations Manager

Global Operations:

Global Operations focuses on promoting innovation and enhancing customer satisfaction by delivering top-notch services and solutions to our clients and business divisions. It also aims to introduce new capabilities and efficiencies that support our commercial and growth initiatives. Global Operations oversees Global Records and Information Management, Global Real Estate, Global Safety, Risk & Security, Sales Operations, Revenue Management, Global Imaging, Global Business Services, and Global Operations Transformation.

Job Summary:

  • Leading a team of over 150 employees, this role involves overseeing other Operation Managers and coordinating the implementation of programs and services.
  • Ensuring proactive leadership by holding managers and supervisors accountable, maintaining adherence to safety and security protocols, and collaborating with users to assess, research, and propose information management solutions.
  • Providing expertise support for solution engineering and continuous process enhancement.

Your Contribution to Our Mission:

  • Setting program goals aligned with long-term strategies and directives established by management.
  • Serving as the central point of contact for day-to-day activities, including planning, documentation, execution of targeted timelines, and ongoing operations.
  • Conducting internal team meetings, coordinating with project teams, divisions, districts, and clients to drive project progression and ensure transparent communication.
  • Acting as the IT liaison for implementation and issue resolution, as well as overseeing ticket follow-up and resolution.
  • Developing project plans, utilizing reporting tools to assess quality, security, timeliness, and compliance, and proposing workflow enhancements.
  • Identifying and resolving operational challenges, escalating critical issues to the Operations Manager or relevant teams.

Functional Knowledge, Skills, and Competences:

  • Profound understanding of document custody operations within the Mortgage Industry.
  • Knowledge of mortgage collateral documents related to document storage and certification.
  • Strong organizational and planning skills for teams exceeding 175 members.
  • Effective management capabilities, including demonstrated leadership and motivational skills.
  • Ability to devise and execute strategic plans to consistently meet service level agreements.
  • Clear communication skills with customers and stakeholders.
  • Proficiency in analyzing data reports to identify trends, manage billing, and achieve production goals.
  • Excellent written, verbal, and presentation skills.
  • Proficiency in multitasking and issue prioritization in complex environments.
  • Strong computer skills, including proficiency in Microsoft Word, Power Point, Outlook, and Excel.

Financial Acumen: A solid grasp of financial principles, utilizing reporting for trend analysis and pipeline forecasting to predict activity and labor needs, while understanding the operational impact.

Leadership: Fostering a culture of strong leadership in alignment with talent evaluation standards. Ensuring the completion of development plans by exempt employees and high-potential hourly workers.

Problem Solving: Balancing workload and staffing requirements, conducting time studies for efficient production workflows, analyzing quality reports for proactive measures, and implementing process improvements regularly.

Nature of Impact: This role significantly influences customer-facing programs, enhancing performance and exceeding service level expectations.

Area of Impact: Directly contributes to revenue generation in Digital Solutions, Secure Shredding, Data Management, and Records Management across markets and territories.

Interpersonal Skills: Involves interaction with various departments within Iron Mountain and client organizations, emphasizing local market communication. External communication includes regular customer meetings and effective articulation of processes, service levels, and challenges.

Special Requirements:

Local Travel: 10%

Overnight Travel: 5%

Education: Bachelor's degree with postgraduate qualifications.

Experience: Over 10 years

Proficiency in Advanced English
