The main purpose of the Farm Administrator position is to provide admin and finance support to farm management to ensure the effective functioning of the Farm.

The

Farm Administrator:

Finance and Operations role demands that the incumbent functions as part of the wider Mangeke Group team to ensure the proper functioning of operations at the Farm.

Weekdays (Mon - Fri) and must be available to periodically work on

Saturdays/Sundays or holidays if the business requirements demand.

Minimum Qualifications & Experience

B. Degree/Diploma or relevant qualification in administration and/or finance.

At least three (1+) years of related work experience in operations and administration.

Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) is not negotiable.

Verbal and written communication. Fluent in English, oral and written.

Exposure to the farming industry beneficial.

Responsibilities:

The Farm Administrator's primary role shall include but is not limited to the following:
Operations Support


With the support of the Farm Management and Operations team, the Farm Administrator is responsible for ensuring the implementation of Operational and Administrative activities in line with agreed procedures and processes.

Must establish and maintain effective data management systems and ensure accurate record-keeping and filing.

Assist with daily operations of the Farm, including overseeing the following workflow processes:
Stock and Workshop Management

ensuring there are adequate controls over issuing and receiving of stock and preparing daily stock movement reports

Maintain inventory records of all equipment, tools, and supplies

Support the Production Team and Farm Management with administrative tasks and ensure there is accurate record-keeping and maintenance across all farming activities and processes, including:
Fertiliser and Fertigation Programmes

Irrigation and Scouting Inspections

Harvesting Scheduling and Resource Management

Provide administrative support to management and Compliance Team in respect of audits and certifications inputs

Human Resource Management

Understanding work allocation and scheduling of farm employees, including seasonal workers (temporary staff) and security guards

Ensure that time and attendance (Time Sheets) records are accurately captured and agree to pre-approved work schedules/plans

Employee leave and overtime management schedules are accurately recorded, maintained and pre-approved by management

Submit all supporting documentation i.e., timesheets, leave forms and other requested documents for payroll to Finance within agreed timelines

Financial Administration and Support

With the support of the Finance team, the Farm Administrator must ensure the implementation and maintenance of appropriate administrative and finance processes, systems, and reporting that support the optimal functioning of the Farm

Monitor ordering, processing and payment for all goods and services provided to the Farm, ensuring that:
Goods ordered are delivered or collected from suppliers within agreed timelines

All financial documents are adequately filed and provided to finance on time

Supporting documents for payments, quotes, and invoices, are collected and reviewed for accuracy and VAT compliance

Review documentation for processing reimbursements

Support Head Office with the preparation of reconciliation of crop/fruit volumes, ensuring that sales volumes per pack out/yields/sales report agrees to harvest volumes

Other Responsibilities and Attributes


Plan and independently manage own personal tasks, anticipate obstacles and challenges, manage priorities, and follow through on objectives within agreed timeframes.

Stay relevant and up to date with developments in Farming Sector at global and national levels. Contribute to a friendly, cooperative climate in working with others to achieve collective goals.
