Junior Service Controller (Durban KZN)

  • To be part of a firstclass service control centre that ensures, response and follow up on all breakdowns and that all customers are handled within company KPIs with total professionalism and that customers are called back regarding technician's response and completion of work to their satisfaction.
  • To ensure that all contract, STH, and customer PMA machines are serviced correctly according to the manufacturer's instructions and are completed 100%.
  • To review all service job cards for additional repairs so that the additional repairs are carried out as soon as possible for both on contract and for the customer's account. To assist the Contracts/Regional Operations Managers and the Internal Parts Coordinator to obtain valid order numbers.

Minimum Qualifications and Requirements:

  • Grade 1
  • Call centre training qualification or at least 1 years call centre service admin experience.
  • Relevant computer skills including e mail, excel, word and power point.
  • Used to working to and achieving deadlines monthly.
  • Must be able to work under pressure.

Duties and Responsibilities:

Technician Planning and Labour Recovery:

  • It is imperative that the technician work is planned to optimise productive labour and minimise idle time.
  • This includes efficient planning of all services and chargeable work.
  • To ensure that the technicians planning is done the day before and send out to them for them to recover the full days labour as per the companies standard operating procedures.
  • To ensure that the planning gets send to the parts department and parts are booked out the day before to minimise idle time.
  • To ensure that the labour recovery report is done on a weekly basis and send to the relevant manager and team of technicians.

STH:

  • You are responsible to ensure that all STH units in the workshop and in field services are carried out and completed monthly without exception. Services that cannot be completed needs to be reported to the Service manager with justification for noncompliance.
  • You are responsible for the STH load testing schedule and needs to be send to the Service manager on a weekly basis, STH machines needs to be load tested within the
  • 10 monthly cycles, if a machine fails load test, you need to inform the Service manager and the machine need to be grounded.
  • To ensure that all service is completed within the manufactures time frame (500 hours or 5 months).
  • Any required repairs need to be communicated to the Contracts manager to get approval.
  • To ensure that any additional cost gets approved by the relevant manager.
  • To ensure that every machine that leaves the workshop has an updated and approved PDI (Pre delivery Inspection).
  • When required, you will need to assist the STH rental department in obtaining excess hours of machines in the workshop to ensure that the excess hour schedule can be completed on time.

Used Stock:

  • To ensure that all standard operating procedures are followed upon the return of a machine to the workshop.
  • You are responsible to make sure the Sales Drive (Used Stock) is up to date and each folder is updated with the required documentation saved.
  • To ensure that there is clear communication between service and sales department on the relevant departments up to date with the progress.

Sublets:

  • You are responsible to extract and analyse the weekly sublet report from ADP and followup on lead time for the repairs, invoices, and proof of deliveries.
  • To ensure you follow the standard operating procedures of the company on the process of supplier invoices.
  • To ensure you stay within the set margins and GP % when quoting and processing supplier invoices as per the standard operating procedure.

Costing, Invoicing:

  • To ensure that the WIP report is pulled daily and that all completed jobs are invoices within the standard operating procedures timeline.
  • To ensure that all invoices are processed accurate and in line with the standard operating procedures.
  • To ensure that you have a completed signed off job card before any invoice are processed.
  • To get any invoices approved in line with the authority matrix before processing any invoice.
  • To ensure that you stay in line with internal budgets that has been set when processing internal invoices and notify the relevant manager if the budget will be exceeded.
  • To ensure that all chargeable invoices are save on the share drive with all required documents.
  • To save all job cards on the share drive
  • To send all required documents to the client once the chargeable job has been processed.

Other:

  • To offer administrative support to the Service manager where need be.
  • To submit a weekly tracking report in the set timeline.
  • To offer a support structure for the apprentices.
  • To liaise with various suppliers to get work carried out.
  • To maintain a workshop filing system.
