Project Manager (ICT) -
Cape Town -
R45,000-R60,000 CTC


The purpose of this role will be to plan and oversee all aspects of Jobs and/or Projects to meet the Project goals on time and within the allocated budget and/or quoted time frame.

The position will further be required to manage staff, tasks and resources, and monitor the progress of Jobs and Projects.


Requirements:

  • Matric certificate (NQF Level 4)
  • Relevant Tertiary Qualification (degree/diploma/certificate) in Project Management or similar.
  • Good industry knowledge (ICT Sector) with a minimum of 7 years' experience in multiple facets of Operations and Project Management.
  • Own vehicle and valid driver's license.
  • Computer literate must be proficient in MS Projects, Office, Umbrella, Asana, and Track Matic. (Training will be provided on Umbrella, Asana, and Track Matic)
  • Good written and verbal communication skills
  • The individual must be wellpresented, highly organized, detailoriented, confident, enthusiastic, flexible, and able to work under pressure and carry out multiple tasks simultaneously.

Key Responsibilities & Duties:

Jobs and Projects Process:

Project Acceptance:

  • Arrange a handover meeting between Sales and the Client.
  • Check the supplier quote.
  • Contact Subcontractors and request their availability.
  • Request quotes from Subcontractors.
  • Draw up Project Plan(s).
  • Mark up plans for teams / subbies

Project Documentation:

  • Update Project progress reports.
  • Followup with Procurement on stock availability and ETA's.
  • Provide Sales Staff and Client(s) with feedback with regards to the Project commencement.
  • Compile Safety files and keep Safety files up to date, if required for the Job and/or Project.
  • Weekly progress reports

Project Claims:

  • Compile, complete, and submit Project claims for invoicing.

Project Scope Creep:

  • Inform all stakeholders of any Project risks and scope of work changes should the Client's requirements be different from the quoted scope of work.

Project Closure:

  • Check test results and ensure that they correspond with the floor plans.
  • Check commission documents and ensure that products are installed correctly.
  • Update As build plans.
  • Ensure that stock and Company equipment is returned to the Stores.
  • Compile Client handover file for handover to the Client.
  • Conclude handover acceptance.

Project Handover to Operations:

  • Client signoff on Job and/or Project.
  • Do job costing and time tracking per Project versus Umbrella actuals.

Project Forecast:

  • Ensuring that all invoices for the Job/Project have been created and submitted to the Client for payment.
  • Submit claims for forecast billing.
  • Budgetary Project forecast claims

Monthly:

  • Ensure that Job and/or Project progress claims are prepared and submitted for invoicing purposes.
  • Submit travel logs and/or expense claims to HR and Finance.
  • Compile monthly maintenance schedules.
  • Subcontractor's claims and invoices are correct and submitted

Weekly:

  • Feedback to Clients on Job and/or Project statuses.
  • Completing Job and/or Project claims with Sales Staff.
  • Meeting with Sales Staff to discuss Job and/or Project statuses and challenges, if any.
  • Ensure that project forecast invoices and claims are submitted on time.
  • Submit weekly timesheets to the Operations Administrator.
  • Compile progress reports
  • Identify project risks

Daily:

  • Ensure that the correct Technician(s) and Engineer(s) (skillset) are deployed to the correct Job and/or Project.
  • Follow up with procurement and ensure that stock is ordered as required, and check ETA's.
  • Ensure that stock is ready for the Technician(s) and Engineer(s) to start the work.
  • Ensure that the Technician(s) and Engineer(s) collect the correct stock for the Job and/or Project.
  • Ensure that the Technician(s) and Engineer(s) are appropriately and neatly dressed before leaving the Office.
  • Ensure that the Technician(s) and Engineer(s) have the correct Job Card, signoff document, and floor plans.
  • Ensure that the Technician(s) and Engineer(s) understand the scope of work.
  • Where required, accompany Technician(s) and Engineer(s) to site to explain the scope of work.
  • Ensure that the Technician(s) and Engineer(s) leave for site on time.
  • Regular site visits and quality checks.
  • Telephonic updates/followups and progress checks on Technician(s) and Engineer(s).
  • Ensure that the Safety file on site is kept up to date and completed where necessary.
  • Ensuring that the work schedule and deadline times are adhered to in accordance with the Quote and/or expectation.
  • Ensuring that the Client receives any additional stock not used but paid for by the Client.
