JOB PURPOSE
A Receptionist is primarily responsible for greeting visitors and delivering exceptional customer service assistance.

This entails answering calls and fielding them accordingly and timeously, addressing visitor questions and needs, maintaining the front office and providing an overall welcoming environment.

This oftentimes includes performing ad hoc administrative duties as needed such as capturing of data and maintaining the database.

DUTIES/TASKS

  • Answer and direct phone calls in a polite and friendly manner
  • Welcome visitors in a warm and friendly manner, and answer any questions visitors have
  • Maintain the reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Keep detailed and accurate records of visitor requests and of calls received
  • Managing office inventory such as stationery, equipment, and furniture
  • Overseeing office services like cleaners and maintenance service providers
  • Link the quotes to & update the system with the client details.
  • Maintaining and Updating the filing system & notice board
  • Make sure the service rates on the quotes are correct
  • Receive deliveries; sort and distribute incoming mail
  • Take inventory of supplies and restock as needed
  • Recording and maintaining office expenses
  • Coordinating internal and external events
  • Maintain the general office filing system
  • Handling travel arrangements
  • Full administration support.
  • Develop monthly reports
  • General office support
  • Invoicing clients.

JOB REQUIREMENTS

  • Matric Certificate (Grade 12)
  • At least 1 year of reception & Office Administration experience
  • Proficient in Microsoft Office Skills essential
  • Accurate Typing Skills
  • Professional, wellpresented, and well spoken
  • Ability to prioritize workload.
  • Basic understanding of administrative and clerical procedures and systems.
  • Ability to work in a highpressure environment and remain calm and professional during stressful times
  • Initiativedriven and selfmotivated
  • Excellent interpersonal and customer service skills.
