The Personal Assistant (PA) will work directly with the Managing Director. This role is crucial in ensuring that the MD's time is well managed and the executive office functions seamlessly.

Responsibilities:
  • Act as the primary point of contact for the MD both internally and externally
  • Manage emails, information, and other communications; respond where possible, identify and prioritize those requiring MD's attention
  • Organize and maintain MD's schedule, arrange appointments, prepare agendas and action points for meetings, and send reminders
  • Oversee follow-up actions across the Board and Senior Leadership Team to ensure agreed tasks are completed
  • Filter and organize incoming communications based on business goals and priorities, collaborating with other departments for timely execution
  • Create reports, presentations, and briefs as necessary
  • Transcribe notes, emails, presentations, and reports; distribute and file information efficiently
  • Arrange transportation and accommodations when needed
  • Attend Senior Leadership Team meetings, off-site quarterly days, and strategic meetings to take notes and action items
  • Maintain administrative systems, database, and server protocols
  • Collaborate effectively with all staff, clients, and suppliers
  • Foster strong relationships with the Senior management team
  • Ensure timely and excellent service delivery

Requirements:
  • Personal Assistance qualification is a plus
  • Minimum of 3 years' experience as a Personal Assistant to a senior executive
  • Demonstrated exceptional organizational skills, ability to work independently
  • Maintain strict confidentiality, exhibit diplomacy and tact
  • Possess integrity, honesty, discretion, and transparency
  • Excellent verbal and non-verbal communication skills for effective influence
  • Focus on business priorities and functions to ensure MD's satisfaction
  • Ability to stay composed under pressure and manage competing demands
  • Proficient in Microsoft applications
  • Apt at taking accurate meeting notes and minutes
