Based at a 5* Hotel in Cape Town - Manage the day-to-day functions in Groups and Touring for three 5* Lodges as well as the efficient running of the office where necessary.

Drive Groups and Touring to achieve business and department goals and revenue targets.

Manage service levels and response times to ensure adherence to the policies and procedures of the business.
3.2. Manage and oversee Reservations of Groups and Touring.
3.3. Ensure that the department meets and works according to Leading Quality Assurance and the department's Standard Operating Procedures.
3.4. Establish and quote rates within the limits of the authorised rates negotiation procedure.
3.5. Monitor rates online and in opera and report any discrepancies to the Revenue Manager.
3.6. Monitor activities regarding billing instructions and compliance with Company credit policies.
3.7. Attend Revenue meetings and implement strategies with the reservations team.
3.8. Continuously endeavour to improve the department's efficient operation.
3.9. Manage relationships with other departments.
3.10. Liaise with the Sales department regarding VIP reservations.
3.11. Manage tentative and confirmed reservations in the system and allocate the suitable/applicable room types.

Manage and complete corporate RFP's.
3.13. Monitor and manage outstanding payments, accounts, refunds, credits and attend Finance meetings and provide the team with feedback.
3.14. Prepare daily, weekly and monthly pick-up reports where necessary.
3.15. Prepare weekly revenue and pace report during the absence of the Revenue Manager.
3.16. Drive Weekly Conversion, Ensure Targets are met in accordance with budget and forecast for Group and Touring conversions.
3.17. Making reservations and prepare rate proposals and follow up on the business to ensure revenue.
3.18. Ensure accurate & detailed capturing of reservations.
3.19.

Ensure accurate records about guests' bookings, payments, and any additional information that colleagues might need when interacting with a guest.

3.20. Answer reservations calls in a pleasant and courteous manner, in accordance with LQA standards.
3.21.

Based on the nature of the reservation required, check the availability of the room / type of room and confirm the reservation.

3.22. Up-selling, when appropriate, by informing guests of additional services or special packages, or higher room category.
3.23.

Actively endeavour to seek and resolve guest complaints, where possible, exercise judgement and escalate it to senior management should it be required.

3.25. Provide support and guidance to the Reservations and Touring team.
3.26. Monitor trends within the industry and make suggestions how these could be implemented.
3.27.

To achieve and better the monthly and annual revenue targets as set out in the budget by keeping the Reservations and Touring team updated and focused on actual vs revenue targets.

3.28. Actively participate in cost savings exercises applicable to your working area.
3.29. Maintain appropriate standards regarding conduct, uniform, and appearance of all team members.
3.30.

Create and process tour operating travel arrangements through our luxury tour operating division, whilst liaising with all stakeholders for the efficient functioning of the division both on a local and an international platform.

3.31. Quoting, managing and making tour operating bookings including flights, transfers, restaurant reservation, as well as accommodation bookings.
3.32. Provide daily, weekly and monthly reports where required by the Director of Sales and Marketing.
