Responsibilities:

Project Coordination

Plan and review administrative protocols for the delivery of the coordination of the project management service Implement processes and standards to support project change control and project configuration management. Update and communicate status of project change requests. Maintain project organisational information.

Documentation Management 

Identify, prepare, implement and monitor the correct usage, reliability, storage and change control of project documentation in accordance with established Project Management protocols to ensure content integrity for final handover at the end of a project Administer all project related documents from initiation to handover at the end of the project.

Project Scope Control

Manage project meetings and monitor actions, schedule adherence and deliverables agreed by participating stakeholder through preparation and distribution of minutes and supporting documentation.

Project Activity Coordination

Plan and review the participation and coordination of stakeholders, their roles, assigned activities and overall project delivery expectations.

Stakeholder management

Monitoring and analyse the progress of project activities against the original project scope and provide reports to identified stakeholders on the relevant schedule and outstanding activities.

Procurement and Cost Management

Maintain a project repository on each project with at least the minimum required contents per size of project. (Project definition, Purchase request, Purchase order, quotations, time sheets, change requests, minutes of meetings, correspondence, sign-off documents, reports, financial budget, financial reports, closure report Review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval Track costs and payments of orders, providing costing information to Management Keep record and report on time sheets of sub-contractors working on projects.

Record keeping

Identify, implement and monitor data gathering mechanisms to record information as required by the 

Project Management Office 

Monitor and interpret the integrity and consistency of reporting data and document trends for further decision making

Requirements:

Project Management Qualification (Diploma and above) Project management certifications: Certified associate in  project management (CAPM), project management  professional (PMP) or similar Proficiency with Microsoft Office, specifically with MS  Project  Multiple stakeholder management and interaction with  Executive Committees and subcontractors- Working knowledge of IT concepts and jargon including  development, networks, infrastructure and asset  management 2 years of experience in project coordination, project  management roles or related fields.
