Our Client is looking for a Wealth Administrative Assistant, you will play a crucial role in supporting the efficient operation of our financial planning and investment services.

Job Title: Wealth Administrative Assistant

Location: Cape town

Salary: Market related

Closing date: End June 2024

 

Responsibilities

  1. Handling telephone communications, including both incoming and outgoing calls. Take messages and relay them promptly to the Financial Planner.

  2. Recording and saving telephone communications into our workpool system for record-keeping purposes.

  3. Assisting the Financial Planner and Para-Planner with administrative tasks related to new and existing business, including long-term assurance policies, medical aids, gap cover, wellness programs, and investments.

  4. Processing amendments to client accounts based on instructions received from clients or the planner using the designated workflow process.

  5. Managing email correspondence, including sending and receiving emails related to client inquiries, document distribution, and appointment scheduling.

  6. Sending medical aid, gap cover, policy, and investment documents to clients as required.

  7. Corresponding with clients regarding annual reviews, policy amendments, and other related matters.

  8. Coordinating appointment scheduling based on the Financial Planner's confirmed calendar.

  9. Updating registers for new business, cancellations, and training activities.

  10. Reporting client complaints to management for resolution.

  11. Providing mentorship and training to junior staff when necessary to support their development.

  12. Assisting the Financial Planner in attracting and retaining clients through excellent service delivery.

  13. Processing new business applications promptly, within 24 hours of receipt from the Financial Planner.

  14. Handling amendment requests promptly, considering cutoff dates for debit orders and changes to payment details.

  15. Establishing and maintaining relationships with clients, product providers, and other stakeholders.

  16. Responding to client requests in a timely manner and providing feedback accordingly.

  17. Ensuring compliance with regulatory requirements (FICA, RMCP, FAIS) for every client interaction.

  18. Managing the Financial Planner's calendar and scheduling tasks effectively.

  19. Staying updated on industry developments, product knowledge, and regulatory changes relevant to the role.

  20. Participating in internal meetings and training sessions to enhance knowledge and skills.

  21. Attending external training sessions conducted by product providers, health administrators, and investment houses focused on administrative tasks.

  22. Completing annual FICA tests and reporting any suspicious activities to management.

 

Requirements

1. Superior relationship and management skills in order to deal with clients, colleagues and providers
2. Good knowledge of the various wealth insurance products
3. Ability to assist with new business
4. Relevant qualifications and certifications as preferred
5. Time management, work under pressure
