Introduction
The Human Resource Officer is responsible for providing practical, accurate and confidential HR support to site management, employees and contractors within a mining environment. The role includes site recruitment administration, onboarding, employment documentation, time and attendance support, payroll input, employee relations administration, training coordination support, HR record keeping, reporting, employee communication and compliance with company policies, client requirements, labour legislation, the Mine Health and Safety Act and site-specific procedures. The position acts as the first point of contact for day-to-day HR matters on site and supports the effective management of people, attendance, discipline, documentation and employee welfare.
Duties & Responsibilities
- Site HR Administration and Support: Provide day-to-day HR support to site management, supervisors and employees by assisting with employment documentation, employee queries, HR forms, site communication, employee records, leave administration, file management and general HR coordination.
- Recruitment, Selection and Onboarding: Assist with site recruitment needs, vacancy administration, adverts, interview scheduling, reference checks, candidate communication, engagement packs, employment contracts, job descriptions, induction arrangements, onboarding documents and new employee file creation.
- Time, Attendance and Payroll Support: Monitor and support time and attendance processes, clocking records, leave forms, overtime records, shift information, payroll input, pay queries and employee data changes. Escalate payroll discrepancies, absenteeism trends and unresolved queries to the HR Manager or relevant management representative.
- Employee Relations Administration: Support disciplinary, grievance, incapacity, absenteeism and performance management processes by preparing documentation, arranging meetings, taking minutes, maintaining records, tracking outcomes and ensuring matters are escalated and administered in line with company procedures and labour legislation.
- Training, Induction and Compliance Records: Assist with maintaining training matrices, induction records, competency documents, medical expiry records, licences, appointments, certificates and related HR or training evidence required for site access, audits, client requirements and operational compliance.
- HR Records, Reporting and Confidentiality: Maintain accurate and up-to-date employee files, HR registers, payroll records, disciplinary records, leave records, movement forms, confirmation letters, reports, action trackers and other HR documentation. Ensure all personal, payroll and employee relations information is handled confidentially and securely.
- SHEQ Compliance & Accountability: The employee shall actively support and comply with the Company's Integrated SHEQ Management System and all applicable legal, company, client and site-specific requirements relating to Safety, Health, Environment and Quality while performing HR duties on site.
- The employee is responsible for:
- Performing all work in a safe, environmentally responsible, and quality-focused manner.
- Complying with all applicable legislation, including the Mine Health and Safety Act (MHSA), Occupational Health and Safety Act (OHSA), Labour Relations Act (LRA), Basic Conditions of Employment Act (BCEA), Employment Equity Act, Skills Development Act, COIDA, POPIA, associated regulations and site-specific legal requirements.
- Following all approved policies, procedures, standards, Codes of Practice (COPs), Standard Operating Procedures (SOPs), work instructions, risk assessments, HR policies, payroll controls, recruitment procedures, disciplinary codes, grievance procedures, data privacy requirements and lawful instructions relevant to their duties.
- Identifying and reporting unsafe conditions, incidents, near misses, non-conformances, HR process irregularities, documentation gaps, payroll or attendance concerns, confidentiality breaches and any matter that may create legal, operational, employee relations or compliance risk.
- Understanding, applying and supporting controls relevant to employee access, inductions, medical fitness, training validity, legal appointments, contractor compliance, fatigue or shift controls where applicable, employee records, payroll accuracy, data privacy and site authorisation requirements.
- Wearing and maintaining the prescribed Personal Protective Equipment (PPE) and task-specific protective equipment as required by the Company, client, or site.
- Participating in SHEQ training, site inductions, audits, HR meetings, disciplinary meetings, employee communication sessions, toolbox talks where required, compliance reviews and other HR, site or SHEQ initiatives as instructed.
- Highlight to Management, without delay, any personal shortcoming in knowledge or training or any item they are unsure about.
- Where employees are assigned to a client site, they shall comply with all client and site-specific HR, payroll, employee relations, security, access control, SHEQ and operational requirements, policies, procedures, standards and lawful instructions. In the event of any conflict, the client's site requirements shall take precedence, provided they meet or exceed the Company's minimum standards and legal obligations.
Desired Experience & Qualification
Education:
Grade 12 certificate. A National Diploma, Degree or equivalent recognised qualification in Human Resources Management, Industrial Relations, Labour Relations, Payroll Administration or related field will be advantageous and may be required depending on site requirements.
Experience:
A minimum of 3 years’ relevant HR, payroll, labour relations, recruitment or site administration experience is required. Experience in a mining, construction, engineering, industrial, contractor or operational site environment will be advantageous. Practical exposure to time and attendance, employee documentation, disciplinary administration, onboarding, training records and payroll input is required or advantageous depending on site requirements.
Required Skills:
Computer literacy, accurate data capturing, HR record keeping, report writing, employee file management, payroll input, time and attendance administration, recruitment coordination, interview scheduling, reference checking, onboarding administration, leave administration, disciplinary and grievance documentation, minute taking, confidentiality, communication and problem-solving skills are required. Knowledge of BCEA, LRA, EEA, Skills Development Act, COIDA, POPIA, Mine Health and Safety Act and related site requirements will be advantageous.

Clean criminal record and successful completion of relevant site inductions, medicals, assessments and client or contractor requirements where applicable. The employee must maintain strict confidentiality of employee, payroll, disciplinary, medical, personal and company information and may not release HR information unless properly authorised and aligned with company policy, POPIA and applicable legal requirements.
