Duties & Responsibilities

Contractor and Service Provider Management

  • Manage relationships with subcontractors, service providers, building owners, and stakeholders.
  • Conduct regular contractor review meetings to ensure SLA compliance.
  • Maintain contractor scorecards, service provider matrixes, and contract files.
  • Ensure procurement and contract documentation is complete and audit-ready.
  • Monitor contractor performance and ensure cost-effective service delivery.

Planning and Operational Management

  • Support preventative maintenance programs and approved capital projects.
  • Ensure adequate resources are available to meet contractual obligations.
  • Review and approve overtime requests where applicable.
  • Monitor departmental productivity and SLA performance.
  • Prevent service failures and associated contractual penalties.

Project Management

  • Assist with facilities-related projects and client initiatives.
  • Coordinate communication with stakeholders throughout project lifecycles.
  • Maintain project records, track progress, and resolve issues proactively.
  • Ensure projects are completed within agreed requirements and timelines.

Financial and Commercial Management

  • Manage and control contract and site budgets.
  • Identify opportunities for revenue growth, cost savings, and operational efficiencies.
  • Prepare monthly financial reports and client submissions.
  • Produce and monitor fee, salary, and pass-through cost invoices.
  • Follow up on outstanding payments and manage authorized expenditure within approved limits.

Customer and Client Relationship Management

  • Build and maintain strong client relationships.
  • Ensure delivery of high-quality facilities management services.
  • Address client concerns and service issues promptly.
  • Achieve and maintain customer satisfaction audit scores of 85% or higher.
  • Implement best practices that improve customer experience and service delivery.

Departmental Effectiveness

  • Ensure all facilities operations comply with SLA requirements.
  • Conduct technical audits and workplace inspections.
  • Maintain professional grooming and presentation standards within teams.
  • Ensure departmental equipment and tools remain operational and fit for purpose.
  • Ensure sufficient staffing levels to meet operational requirements.

SHEQ (Safety, Health, Environment and Quality)

  • Manage compliance with all SHEQ requirements.
  • Drive continuous improvement initiatives.
  • Support compliance with Occupational Health and Safety legislation.
  • Promote safe work practices across the site.
  • Ensure adherence to ISO 9001, ISO 14001 and ISO 45001 standards.

People Management (HR & IR)

  • Lead, coach, and develop technical and non-technical staff.
  • Manage attendance, productivity, and performance.
  • Conduct bi-annual performance reviews and establish Personal Development Plans.
  • Identify and coordinate staff training requirements.
  • Manage disciplinary processes in accordance with company policies and labour legislation.
  • Maintain positive employee relations and workplace engagement.

Reporting and Governance

  • Compile technical, operational, and management reports.
  • Monitor helpdesk performance and SLA compliance.
  • Produce client reports and ad-hoc management reports.
  • Ensure incident reports and compliance documentation are submitted timeously.
