The Jarat Tours Office Manager is responsible for ensuring that Jarat's head office and related facilities operate safely, efficiently, and professionally. The role manages building services, workplace presentation, health and safety administration, office technology coordination, supplies and supplier relationships. The Office Manager also supports the General Manager and Managing Director by coordinating actions, following up agreed tasks and helping to ensure that important work is completed timeously. The role contributes to a harmonious workplace by maintaining practical house rules and consistent standards of employee conduct in shared spaces.
Primary Responsibilities & Key Performance areas and measures
- Manage the day-to-day operation, maintenance, security, cleanliness and professional presentation of Jarat's buildings, offices and surrounding areas.
- Conduct regular building inspections, maintain preventative maintenance schedules and coordinate urgent repairs and after-hours building incidents.
- Serve as Jarat's Health and Safety Coordinator and designated representative, maintaining statutory files, registers, inspections, risk assessments and incident records.
- Ensure fire-prevention equipment, alarms, emergency exits, evacuation procedures and emergency drills are maintained and completed as required.
- Coordinate internet, networks, printers, phones, computers, software and day-to-day IT support through internal resources and external service providers.
- Configure and issue IT equipment, accounts, system access and software for new employees, and coordinate the return and deactivation of equipment and access when employees leave.
- Manage stationery, refreshments, cleaning materials, office furniture, appliances, shared equipment and other office supplies.
- Manage meeting-room bookings and ensure rooms are clean, prepared, equipped and available for scheduled meetings.
- Monitor prepaid electricity and other essential utilities, ensuring that adequate electricity is loaded timeously and service interruptions are prevented wherever reasonably possible.
- Manage supplier relationships, quotations, contracts, service levels, renewals, warranties and invoice verification for facilities, security, IT and office services.
- Establish, communicate and uphold practical office house rules governing how employees use shared spaces and conduct themselves to maintain a respectful and harmonious workplace.
- Support the General Manager and Managing Director by coordinating priorities, following up agreed actions, resolving practical obstacles and helping to ensure that assigned work is completed.
- Maintain accurate asset, key, access, maintenance, contract and compliance records, and report material risks, costs and service concerns to management.
- Prepare and manage facilities, office and IT-related budgets, monitor expenditure and utilities, and identify opportunities to improve cost efficiency.
Building and Facilities Management
- Manage cleaning, security, maintenance, waste, pest control and workplace presentation.
- Inspect facilities and coordinate preventative maintenance, repairs and emergencies.
- Manage access control, keys, alarms, CCTV, furniture and minor office improvements.
- Planned inspections and maintenance completed by agreed due dates.
- Urgent faults and safety-critical repairs escalated immediately and resolved within agreed service levels.
- Workplace presentation meets the agreed Jarat standard, with recurring issues tracked and corrected.
Health and Safety Compliance
- Maintain health and safety files, registers, appointments and supporting evidence.
- Coordinate risk assessments, inspections, corrective actions, fire equipment servicing and emergency drills.
- Record and escalate incidents, non-compliance and overdue actions.
- Required files and registers remain current and audit-ready.
- Fire equipment, inspections and drills completed within prescribed or agreed timelines.
- Corrective actions closed by due date, with no repeat high-risk findings caused by poor follow-up.
IT and Employee Technology Support
- Coordinate internet, network, printer, phone, computer and software support.
- Manage new employee technology setup and employee exit deactivation and returns.
- Maintain IT asset, licence, warranty and support-contract records.
- New employee equipment and access ready by the agreed start date.
- IT faults logged promptly and resolved or escalated within the applicable service level.
- Asset and licence registers reconciled and updated monthly.
Office Administration and Management Support
- Manage office supplies, shared equipment and meeting-room bookings and readiness.
- Monitor prepaid electricity and essential services, loading electricity timeously.
- Support the GM and MD by following up actions, coordinating priorities and removing practical obstacles.
- Maintain and reinforce fair office house rules and standards of conduct in shared spaces.
- Essential supplies and electricity remain available, with avoidable interruptions prevented.
- Meeting rooms are available, prepared and appropriately equipped for confirmed bookings.
- Management actions are tracked, followed up and completed by agreed due dates.
- Workplace conduct matters are handled consistently and escalated appropriately.
Supplier Contract and Cost Management
- Manage supplier relationships, quotations, contracts, renewals and service performance.
- Verify completed work and invoices against approved quotations and agreements.
- Monitor budgets, utilities and operating costs and recommend efficiencies.
- Contract register, renewal dates and notice periods remain current.
- Supplier performance reviewed and material service failures resolved or escalated.
- Expenditure remains within approved budget or variances are explained and approved.
Desired Experience & Qualification
Education
Grade 12 or equivalent. A relevant qualification in office administration, facilities management or business administration is preferred.
Experience
At least 3 years' relevant experience in office administration, facilities coordination or office management, including responsibility for suppliers and service providers.
Licences / Certificates
Health and Safety Representative training, fire-fighting or first-aid certification is advantageous. The successful candidate must complete any required workplace safety training.
Systems / Technical Skills
Strong working knowledge of Microsoft 365, Outlook, Teams and office equipment. Able to coordinate IT troubleshooting, user setup, telephony, networks, printers and software support.
Other Requirements
Strong written and verbal communication, accurate record keeping, supplier-management ability, confidentiality and availability to respond to urgent facilities or IT matters when reasonably required.

Working Hours / Shifts
Standard office hours, with reasonable availability for urgent building, security, utility or IT incidents outside normal hours.
Travel / Mobility
Primarily based at the Cape Town Head Office, with occasional local travel to suppliers, service providers or other Jarat premises.
Physical / Environmental Requirements
Regular movement through office and building areas, inspections of facilities and occasional handling of light office supplies or equipment.
Systems / Equipment Used
Microsoft 365, Outlook, Teams, office computers and printers, telephony, network and internet services, security and access-control systems, and supplier or utility platforms.
Package & Remuneration
Depending of skills and experience, up to R30 000 cost to company
