NatCarbon Africa seeks a Finance/Administrative Officer for the large scale Spekboom Restoration Project in the Eastern and Western Cape Provinces of South Africa. With our partner Imperative Global, our aim is to restore up to hectares of degraded subtropical thicket biome. The Project will be planting spekboom (Portulacaria afra) on privately owned land to improve ecosystem functioning, improve agricultural productivity over time, promote biodiversity, improve soil filtration, water storage capabilities, and reduce soil erosion. The Project is estimated to permanently store large quantities of Carbon Dioxide equivalents over the Project life, thus positively contributing towards climate change mitigation.
Position summary:
The Finance/Administrative Officer plays a crucial role in ensuring the smooth and efficient functioning of the team's operations by providing comprehensive administrative support. This role requires excellent organisational abilities, attention to detail, and the capability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
1. General Administrative Support
- Manage front desk operations, including answering phone calls, responding to emails, and welcoming visitors.
- Maintain accurate filing systems, records, and documentation.
- Coordinate appointments and meetings.
2. Data Entry and Record Management
- Update and manage records on operational activities.
3. Financial Support
- Assist with process invoices (to support AP), purchase orders (to support Procurement), and expense reports.
- Assist with tracking budgets and managing expenses for supplies.
- Collaborate with the finance team to ensure accurate and timely processing of payments.
4. Inventory and Supplies Management
- Monitor and manage stock levels of office supplies.
- Coordinate supply orders and replenishments to ensure uninterrupted operations.
5. Compliance and Reporting
- Ensure all required documentation is maintained for accreditation and compliance with regulations.
- Assist with the preparation of internal reports, recording of any stock count documentation
6. Communication and Coordination
- Serve as the liaison between the team and external vendors, contractors, and service providers.
- Maintain clear communication with the team members regarding administrative updates and inquiries.
7. HR and Payroll Support
- Assist with staff scheduling and maintaining timekeeping records (manually or via systems).
- Manage personnel files and support the onboarding process for new employees and offboarding in the event of resignations.
8. General
- Any other roles and responsibilities as requested by the direct reports.

Qualifications and Skills:
- Strong organisational skills with the ability to multitask efficiently.
- Basic accounting/bookkeeping skills (advantageous).
- 5 years' experience in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry software.
- Experience in systems involving procurement modules (SAP, Syspro, Pastel, 4Cast+) is advantageous.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a dynamic environment.
- Experience in an administrative role is an advantage.
