Purpose of the Job

The Tyre Supervisor is responsible for managing all aspects of tyre administration, stock control, and operational activities within the tyre department. This role ensures accurate recording and processing of tyre movements, job cards, and invoices using relevant management systems, while maintaining strict stock security and integrity. The incumbent oversees daily staff activities, coordinates regular tyre surveys and maintenance, and ensures compliance with health and safety regulations.

Key Responsibilities

Administration:

  • Administration of all tyre movements – tyre change slips and surveys
  • Open Embrace job cards and accurately record tyre transactions
  • Ensure that all change slips are transacted daily on Embrace.
  • Draw open batch report on intasect for the number of vehicles surveyed vs. the fleet list and action accordingly
  • Ensure manual surveys are captured timely and accurately on Intasect
  • Ensure that Open job cards are costed and closed as soon as the work is completed.
  • Ensure that Invoices are sent for GRV timely
  • Ensure all work carried out is accurately recorded on the Embrace job card.
  • Manage all open orders timely
  • Ensure that Job cards are sent timely for scanning
  • Report on productivity daily.

Stock:

  • Tyre stock to be secured at all times & access must be restricted
  • Discrepancies to be reported & investigated daily.
  • Ensure all stock is accounted for
  • check and confirm brand numbers on stock are correct before packing away
  • accurate counting of stock during monthly cycle counts.
  • ensure that stock is packed neatly and safely
  • Ensure that the Bin labels are correct and displayed on the racking
  • Ensure that stock is packed in the correct bin locations
  • Allocate bin locations where required
  • Manage consumable on a register when issued.
  • Assist with Investigation of unbranded Tyres, and resolve timely
  • Return faulty Tyres to the warehouse and ensure transfers are processed daily

Operations:

  • Manage daily tyre staff activities and productivity.
  • Ensure that all vehicles are surveyed once a month
  • Do spot checks to ensure correctness of work (tyre pressures, torquing, matching and brand numbers).
  • Daily interaction with BU management in relation to vehicles surveyed, tyre problems identified, and vehicles still required to be surveyed.
  • Prioritize vehicle tyre maintenance by working with a fleet list.
  • All vehicles to be surveyed, tyre pressures maintained and corrected a minimum of once per month.
  • Identify and replace any smooth, punctured or damaged tyres.
  • Ensure that tyres are accurately Branded
  • Ensure that all tyres are branded
  • Track and plan tyre surveys daily.
  • Conduct surveys on the Intasect tyre management software provided target is 100%, use manual documentation when the system is offline.
  • Confirm & identify maintenance, Tyre changes, and wheel alignment according to the Tyre surveys. Report any defects to BU management daily.
  • Ensure that all Spare wheels are painted red
  • Submit daily list to Inventory & Tyre Manager on rims painted red
  • Ensure that spare wheel locks are fitted
  • Replace missing spare wheel, and communicate missing spare wheels to BU

Asset Verification and Tool Inspections:

  • Always keep Tyre maintenance tablet in a safe and secure place
  • Do Tool checklists and file weekly.
  • Ensure compressor checklist is done daily
  • Equipment issued (tablet/Probe) to be verified monthly.
  • Ensure all tyre bay equipment and vehicles service, Vessel test, load test and calibration are up to date.
  • File all certificates, monitor service, load test, calibration and load test daily
  • Manage tools, and equipment and ensure all in working order at all times & and submit Tyre Bay Tools Check list weekly.
  • Vehicle checklists to be conducted daily & filed.

Staff Supervision:

  • Monitor productivity and efficiency of staff daily.
  • Delegate work to employees and ensure staff is kept productive
  • Ensure all work is quality checked for correctness.
  • Check and countersign QC check sheets
  • Manage time keeping of staff.
  • Take roll call daily and complete the attendance register for staff.
  • Submit leave forms for staff.
  • Ensure that pre-approval is granted before any overtime work is done

Queries:

  • Assist with investigating and resolving queries
  • respond to emails and provide feedback to BU Managers timely

Purchase Orders:

  • Raise Stock, general and consumables orders and send to supplier as per SOP
  • Check and accurately record brand numbers on Purchase orders
  • Ensure Invoices are checked against the physical stock received
  • Ensure invoices are sent weekly to creditors for filing

Filing:

  • Ensure that QC check sheets are scanned and filled with the job cards daily
  • Maintain a clean desk policy POPIA compliant
  • Ensure that all tyres change slip books are safely stored for period of five years
  • Ensure that all tyre scrap books are safely stored for period of five years

Gate Pass:

  • Ensure that goods leaving the store is properly checked and cross reference is recorded on the gate pass.

Breakdowns:

  • Ensure that all breakdowns are attended to timely
  • Ensure that My business is updated with the job card number and closed timely
  • Make use of internal staff were applicable to reduce the cost of breakdowns
  • Notify BU Managers via writing to return faulty tyres removed on breakdowns to the nearest Tyrebay Department

Factory retreads & Scrapping:

  • Ensure that all re-usable tyres are sent for re-treading daily.
  • Follow up with suppliers on delivery dates and invoices
  • ensure that scrap tyres are checked and transferred to faulty warehouse daily.
  • ensure that scraping report is done and submitted every Thursday

Housekeeping:

  • Always maintain a clean desk policy
  • Ensure that work area is always kept neat and tidy
  • conduct daily vehicle spot checks for neatness

Health and Safety:

  • Work involves looking after you and your colleague's health and safety. It also involves working with dangerous goods.
  • Ensure that all safety rules and regulations are communicated to all staff and adhered to at all times.
  • Ensure the correct PPE are used at all time

Minimum Requirements

  • Grade 12
  • Code B Driver's license
  • 1 – 2 years heavy duty tyre experience
  • Physically able to lift heavy objects
