Assetpool is a cutting-edge platform for smart inspection and asset management, designed to revolutionize the way businesses handle compliance, maintenance, and operational efficiency. We serve industries such as fire protection, mining, facilities management, rental equipment, and healthcare.
As we expand across South Africa, UK, Canada, and Europe, we are looking for a motivated Departmental Support & Admin person to join our Operations team.
We are seeking a proactive and organised individual to join our team as a Departmental Support & Admin. The successful candidate will play a key role in supporting the Sales, Operations, and Finance teams through efficient administration, coordination, and communication.
TASKS
Sales Department Support
- Prepare and send client quotations, proposals, and renewal documents.
- Assist with CRM updates, data entry, and maintaining sales pipelines.
- Track client contracts, renewals, and follow-up activities.
- Coordinate with the marketing team for client communications and campaigns.
Operations Department Support
- Support client onboarding processes and assist with scheduling training sessions.
- Maintain records of active clients, projects, and platform usage reports.
- Assist with internal process documentation and reporting.
- Coordinate internal department meetings and maintain task follow-up lists.
Finance Department Support
- Assist with purchase orders, and payment tracking.
- Liaise with clients on billing queries or outstanding payments.
- Maintain accurate financial filing and document control systems.
Support Desk Management
- Manage the central support inbox and ticketing system.
- Assign and track client support tickets to the relevant departments.
- Ensure all client issues are acknowledged, documented, and resolved within SLA timeframes.
- Compile monthly support performance reports.
SKILLS & COMPETENCIES
- Excellent organisational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and cloud-based systems.
- Experience with CRM or ticketing software (e.g., HubSpot, Freshdesk, or similar) is an advantage.
- Ability to work independently and handle multiple departmental priorities.
- Attention to detail and commitment to accuracy.
QUALIFICATIONS
- Matric certificate required, tertiary qualification in Business Administration, Office Management, or related field preferred.
- Any administrative or departmental support experience is preferred.
- Previous experience in a SaaS or technology environment is advantageous.
