Operations Assistant
We are seeking an organized and proactive Operations Assistant to support our client's team in managing daily operations and administration. This role is vital for planning, coordinating, and following up on work orders, ensuring both their technical team and clients' needs are met efficiently.
Our client has been serving clients for over eight years, with a management team and staff boasting over fifty years of combined experience in the construction and plumbing industry. They are committed to excellent service, technical expertise, and professional project handling.
Location: Boksburg Salary: R R depending on experience) Available Positions: 1 Working Hours: 07:00 - 17:00 Monday to Friday; 2 Saturdays a month Start Date: As soon as possibleKey Responsibilities
Client Appointments & Scheduling:
Book appointments with clients and reserve time slots in plumbers' diaries.
Create job cards for bookings.
Ensure technicians follow Eworks instructions (e.g., on route, on site, completed).
Administrative & Financial Support:
Generate invoices from quotes/completed jobs, adjusted to actual events.
Create purchase orders and link purchases to specific jobs.
Load accountability information for defaulting clients.
Documentation & Reporting:
Assist with creating COCs.
Type and distribute client and insurance reports.
Upload and distribute photos.
Customer Service & Feedback:
Administer client feedback (rate cards).
Contact customers to assess satisfaction levels and address complaints.
General Support:
Assist with fleet management administration.
Perform any other ad hoc duties as requested by management.
National Senior Certificate.
National Diploma or similar qualification.
2–5 years' experience, able to work independently without close supervision.
Excellent knowledge of Microsoft Office and office management software (ERP, etc.).
- Highly advantageous if candidates have prior experience working with EWorks Manager.
Familiarity with office management procedures and basic accounting principles.
Outstanding communication and interpersonal skills.
Excellent organizational and leadership abilities.

Kliënte-afsprake & Skedulering:
Maak afsprake met kliënte en bespreek tydgleuwe in loodgieters se dagboeke.
Skep werkkaarte vir besprekings.
Verseker tegnikuste volg Eworks-instruksies (bv. op pad, op terrein, voltooi).
Administratiewe en Finansiële Ondersteuning:
Genereer fakture vanaf kwotasies/voltooide werk, aangepas volgens werklike gebeure.
Skep aankooporders en koppel aankope aan spesifieke werke.
Laai inligting vir aanspreeklikheid by wanbetalende kliënte.
Dokumentasie en Verslaggewing:
Help met die opstel van COC's.
Tik en versprei kliënt- en versekeringsverslae.
Laai foto's op en versprei dit.
Kliëntediens & Terugvoer:
Administreer kliënteterugvoer (beoordelingskaarte).
Skakel kliënte om tevredenheidsvlakke te meet en klagtes aan te spreek.
Algemene Ondersteuning:
Help met vlootbestuursadministrasie.
Voer enige ander ad hoc-take uit soos deur bestuur versoek.
Nasionale Senior Sertifikaat.
Nasionale Diploma of soortgelyke kwalifikasie.
2–5 jaar ondervinding, en in staat om onafhanklik te werk.
Uitstekende kennis van Microsoft Office en kantoorbestuursagteware (ERP, ens.).
- Baie voordelig indien kandidate vorige ondervinding het met die gebruik van EWorks Manager.
Bekendheid met kantoorbestuursprosedures en basiese rekeningkundige beginsels.
Uitstekende kommunikasie- en interpersoonlike vaardighede.
Goeie organisatoriese- en leierskapsvermoëns.
