Contract Catering Administration Manager

We are looking for an Administration Manager to join our Eatfresh team. In this role, manage and coordinate all administrative and financial processes across multiple catering sites, ensuring accurate reporting, compliance, and operational efficiency. The role supports operational managers and site teams by overseeing administrative controls, payroll, procurement, invoicing, and record management for approximately 15 catering contracts

Duties & ResponsibilitiesAdministrative Oversight
- Oversee all site-level administration processes, ensuring accuracy, consistency, and compliance with company policies.
- Ensure timely submission of weekly and monthly reports from sites (sales, stock, labour, etc.).
- Maintain organised filing systems for contracts, compliance certificates, and site documentation.
- Implement and monitor standard operating procedures (SOPs) for administration.
Financial Administration
- Verify and process supplier invoices, purchase orders, and site expense claims.
- Reconcile site sales and banking against cash-ups and POS reports.
- Monitor petty cash and ensure correct allocation of costs.
- Assist with month-end reporting, cost analysis, and budget tracking.
- Prepare financial summaries for management review.
Payroll and HR Support
- Ensure all site timesheets and attendance records are accurate and submitted on time.
- Liaise with HR and payroll departments regarding staff changes, leave, and overtime.
- Maintain employee records for each site (contracts, training, certifications).
- Support managers with recruitment paperwork and onboarding documentation.
Systems and Compliance
- Ensure all administrative systems (POS, stock control, financial software) are updated and functioning correctly.
- Conduct periodic audits of site admin processes.
- Ensure compliance with company policies, food safety standards, and health & safety documentation.
Communication and Support
- Act as the main administrative contact for site managers and regional management.
- Provide training and guidance to site admin or supervisors on reporting and procedures.
- Liaise with suppliers, head office departments, and clients regarding administrative or financial queries.
Technical Skills
- Advanced Microsoft Excel (data analysis, formulas, pivot tables).
- Proficient in Word and catering/financial software.
- Strong understanding of financial processes (invoices, costings, payroll).
- Ability to analyse stock sheets and identify discrepancies.

- Minimum 5 years' experience in an administrative or finance role, preferably within contract catering, hospitality, or facilities management.
- Experience overseeing administration for multiple sites or departments.
- Knowledge of food service operations, stock control, and payroll systems advantageous.
