Maintenance Manager

Pretoria Full-Time, Permanent

At Trafalgar, we pride ourselves on delivering world-class service in sectional title and HOA portfolio management. We're looking for a driven, detail-oriented Maintenance Manager to lead our maintenance operations, ensure regulatory compliance, and drive operational excellence.

The Role

Reporting to: Branch Manager

Location: Pretoria

Salary: Market-related (based on experience) + benefits

Job Purpose

You will support the Branch Manager and Sectional Title teams by:

  • Overseeing maintenance administration and team performance
  • Managing contractors and ensuring cost-effective, compliant services
  • Maintaining accurate records on QDocs and delivering exceptional stakeholder service
  • Ensuring full compliance with Sectional Title, HOA, and municipal regulations

Core Responsibilities

  • Supervise and conduct performance appraisals for the Maintenance Team
  • Prepare accurate monthly maintenance reports for management meetings
  • Source, vet, and manage contractors – maintain updated QDocs database
  • Negotiate fixed/reduced rates and secure free quotes per agreements
  • Obtain competitive quotes within 30 days and update QDocs weekly
  • Follow up on outstanding quotes & jobs weekly – ensure 95% completion in 30 days
  • Capture and distribute invoices within 48 hours; finalize jobs in 5 days
  • Maintain QDocs workflows – clear outdated jobs, index documents
  • Deliver daily call/email responses and manage emergency phone
  • Process compliance tasks (Annexure B, fire equipment, insurance valuations)
  • Ad hoc duties as directed by the Branch Manager

What You Bring

Qualifications

  • National Diploma (NQF 6) in:

  • Property / Real Estate / Sectional Title Management

  • Business Administration / Management

  • Facilities / Building Management

  • OR NQF 5 Certificate + extra experience

  • Advantageous:

  • Sectional Title Management Certificate (Paddocks or similar)

  • Compliance / Health & Safety certifications
  • Microsoft Office Specialist (MOS)

Experience

3–5 years in:

  • Property/Facilities Maintenance Management
  • Team supervision (1–2 years minimum)
  • Contractor sourcing, vetting, and negotiation
  • QDocs / Unibase or similar property software
  • Compliance & regulatory administration
  • High-level customer service in the property
