Key Responsibilities:

1. Lease Administration

  • Draft, review, and maintain lease agreements
  • Track lease renewals and expiries
  • Ensure accurate record-keeping of all lease-related documentation and correspondence.

2. Tenant Relations

  • tenant queries, complaints, and requests.
  • communication between tenants, landlords, and service providers.

3. Municipal Account Management

  • Manage and reconcile municipal utility accounts
  • Verify billing accuracy and resolve discrepancies with municipalities.

4. Quotations and Maintenance Coordination

  • Source and compare quotations from service providers for repairs, maintenance, and other property-related services.
  • Prepare recommendation summaries for approval.
  • Ensure timely completion and quality of approved works.

5. Insurance Administration

  • Receive and review insurance inspection reports and compliance requirements.
  • Liaise with tenants, contractors, and service providers to address identified issues
  • Coordinate the rectification of all insurance-related findings within the required timeframes.
  • Obtain and compile supporting documentation such as Certificates of Compliance (CoCs), photographs, and completion confirmations for submission to insurers.
  • Maintain accurate records of all insurance correspondence, actions taken, and compliance evidence

6. Payment Reconciliation and Submission

  • Reconcile weekly payments, invoices, and supporting documentation for approval.
  • Maintain an organised record of payments made and pending.
