Project Administrator

**Main purpose of the job**:
- The Project Administrator will be required to provide professional, efficient, and timeous support to the Director and the RHAP Advisory Board in close collaboration with the RHAP team
- This position will manage the efficient flow of information and communication to ensure expeditious dissemination and timely action
- The position performs a variety of governance support functions for the Board
**Location**:
- **Rosebank - Johannesburg**
**Key performance areas**:
- Support operations coordinator with the requisition of purchase orders, payment requests, and management of travel requests
- Act as project focal point for WHC Finance, HR, and Legal
- Maintains director and organization schedule and planner
- Donor contractual compliance monitor ensures Director tracking of donor and other contractual obligations, deadlines, and deliverables and preps the ED for EXCO
- Helps maintain strategic and organization contact list together with Comms
- Assists with Director administration such as reconciling expenses, timesheets, and leave tracking for the director
- Coordinate diary scheduling for the director and tracking of documents for the director's signature
- Implementation of the annual board meeting and reporting schedule
- Manages and helps implement the governance development plan
- Coordinate with Director for the drafting of the Board report
- Ensures regular relationship maintenance with the board stakeholders and partners
- Takes calls in a prompt and friendly manner and welcomes visitors
- Direct stakeholders to the relevant people internally and externally
- Provide admin support to the Director and RHAP team as requested
- Arrange for teleconferences, takes minutes, arrange for other meetings and travel arrangements
- Perform miscellaneous clerical duties such as courier and posting services
- Draft and edits letters and reports
- Provides research assistance and social media support if required
- Assists with Executive office archiving and shared folders
- Assists with Executive Office drive for automation and tech efficiency
- Keep up-to-date Executive Office records in soft copy and hard copy where required
- Assist in the development of RHAP communication outputs
- Manage the mailing lists and send out communication outputs
- Support RHAP staff and external consultants with various communication campaigns
**Required minimum education and training**:
- **A Diploma in a relevant field, such as Office Administration**:
- **Highly proficient in the use of MS Office, particularly Word, and Excel**
**Required minimum work experience**:
- **Minimum of three (3) years experience in a general office environment**:
- **Experience in Financial Administration, Secretarial and Office Administration**
**Desirable additional education, work experience, and personal abilities**:
- Knowledge of WHC systems
- High attention to detail and a sense of accuracy
- Sound customer and service orientation
- Friendly, helpful, professional, perseverant
- Able to manage and prioritize time for various tasks simultaneously
- Able to work independently with minimum supervision as well as in a team
- Self-motivated with high regard for work ethic, values, and integrity
- Reliable and accountable; willing to learn and receive constructive feedback
- Good command of English, verbally and in writing
- Good writing and editing skills
- Deep commitment to RHAP’s mandate and principles of social justice is required
- He/she can commit to non-partisan advocacy
