Human Resources Assistant

**Purpose**
The Human Resource Assistant provides administrative assistance to the Human Resource Manager and staff. This may include information on, job descriptions, disciplinary procedures, recruitment and selection, maintaining employee records and information and ensuring that Company policies and procedures are adhered to. The position assists the Human Resource Manager by maintaining the Human Resource data base and all employee records and files, provide written feedback on daily completion of tasks; what is not completed; issues experienced, what should be completed and ensure that deadlines are met. This position reports to the Human Resource Manager.

**Key Performance Areas**
- Assist with co-ordinating the recruitment and selection process
- Assist by analysing skills and qualities required for each job and develop job descriptions
- Assist with submitting employment equity plans with specified timeframes to department of labour
- Assist and give input into the employment equity plans
- Assist in identifying employment equity quota requirements and advise Human Resource Manager on status of compliance to targets
- Assist by ensuring awareness on LRA, BCEA, and all other labour legislation
- Assist with compiling monthly reports on all key output areas of HR/Payroll & Training
- Assist in identifying and analyse current organisational effectiveness and issues
**Key Performance Indicators**
- CV’s are read and matched to skills criteria and shortlisted for first interview
- Competency based questions are asked
- Reference checks conducted and documented
- Organise and arrange for Sales Consultants to attend criminal check
- Arrange 2nd interview
- Co-ordinate HR/ OPS meetings and ensure agendas are compiled and distributed
- Take minutes at HR/ OPS Meetings and distribute
- Training manuals are printed and prepared
- Training registers are prepared
- Disciplinary logs are prepared monthly for inclusion into HR report
- Track tests written and record results in collaboration with the Skills Trainer
- Research and source external training as directed and source venues for training if required
- Print all related training material in collaboration with Skills Trainer
- Recommend changes to systems and procedures to improve efficiency of department
- Prepare and distribute warnings
- Maintain employee files
- Assist HR Manager with ad hoc duties
- Effectively maintain and record Human Resource information
- Maintain effective communication with HR Manager
- Support timely processing and production of HR & Payroll information including but not limited to contracts of employment and standard letters
- Maintain database of employee MTN Oracle numbers
- Ensure that employee documentation and electronic files are updated weekly
- Ensure employee files are updated weekly by scanning and filing electronically and manually
- Provide written feedback daily of completion of tasks; what is not completed and issues experienced
- Assist HR Manager with HR report figures to be updated monthly by the 3rd of the month and the HR report presentation to be prepared for checking by the 5th of every month
- Perform ad hoc tasks as requested by HR Manager and Admin Manager
- Log all HR documentation on a daily basis as requested by Admin Manager
- Assist with payroll tasks
- Prepare documentation for Labour Inspector store visits
- Terminated employee files are archived
