**PURPOSE**

The role is providing dedicated EAMS support to ensure all administrative tasks are handled efficiently and effectively within the Department.

**RESPONSIBILITIES**

**Management Support**
- Arrange meetings
- Assist with identified tasks
- Draft annual calendar and send out meeting requests
- Prepare presentations
- Typing documents

**Meeting and function coordination and administration**
- Act as coordinator for departmental meetings and functions
- Obtain input into, draw up and distribute agendas
- Draw up and send out function invitations
- Manages RSVP’s
- Organise refreshments
- Take, type and distribute minutes

**General Administration**
- Create purchase requisitions and GRV
- Invoicing and following up with suppliers
- Payroll data input, ensuring the completeness and accuracy of payroll and wages

inputs and cost allocations
- Ensuring Site budget is adhered to
- Organise and store paperwork, documents and computer-based information
- Assist in good management of Company Assets on a Site level
- Inventory Management
- Escalating Site level accruals to the Assistant Financial Controller
- Escalation of HR and Finance queries to Shared Services
- Assist with ad hoc administrative duties

**Planned Maintenance**
- Assist with Planning and Scheduling of Maintenance
- Maintain innovation data base
- Capture data on ONKEY system
- Providing ONKEY training to new / existing employees
- Provide Site performance reports
- Maintain Master Data on the ONKEY System
- Capturing all discrepancies identified through condition monitoring reports
- Continuous improvement
- Provide ad hoc reports to management
- Assist site clerks with maintenance activities

**QUALIFICATIONS**
- Grade 12
- Post Matric Qualification will be advantageous

**EXPERIENCE**
- At least 2 to 5 years experience
- Experience in SAGE, PRAGMA ONKEY or ERPM system will be advantageous

**SKILLS, QUALITIES AND ABILITIES REQUIRED**
- Good communication
- People management
- Computer skills (MS Office)
- Analytical
- Excellent networking skills
- Valid Driver’s license & Own Vehicle
