**Job overview**

We are looking for a vibrant go-getter with knowledge and experience in event planning and marketing. Background of the tourism and hospitality industry will be highly benificial.

Applicant will be responsible for generating own income through finding and booking events on the reserve. These events and conferences include birthdays, weddings, teambuilding weekends, year end functions, and corporate events.

Organise and run conferences and provide on-site assistance throughout the event. Supervise staff, communicate with contractors, suppliers, and clients.

**Responsibilities and duties**:

- Understand the ideas and aims of clients and fulfil their requests
- Creating event proposals which fit client requirements and presenting proposals by deadline
- Manage all event set-up, tear down, and follow-up processes
- Problem solve any issues that arise during the conference
- Compile detailed budgets and request approval from the financial department
- Work effectively within a budget
- Interview and hire vendors, resolving any conflicts or cancellations
- Keep administrative records of bookings and admissions
- Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
- Assess an event’s overall success and submit a written report of findings to the operations manager
- Compile detailed conferencing and event packages
- Work closely with Marketing and Social Media Manager to ensure that all packages and collateral updates (including social media and website information and event updates) are done in a timely matter.
- Communicating with marketing manager to create effective advertisements for each event, and when necessary, crafting marketing materials such as print and Internet advertisements for individual events.
- Communicate effectively with all parties involved to ensure timely and successful execution of an event or conference
- Delegating event planning tasks to other staff members where necessary
- Fill in where needed to ensure guest service standards and efficient operations (bartending, game driving etc.)
- Arrange accommodation and transport for all event or conference participants
- Manage all conference and event inventory and stock take
- Report any stock shortages or breakages and report to operation manager
- Arrange guest orientation and reception
- Process all other additional requests such as room set-up, catering needs and audio-visual device requirements.
- Maintain high-level of professionalism and competence when dealing with clients.
- Obtain client feedback and make appropriate changes for improvements.
- Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports
- Resolve booking conflicts in a timely and accurate fashion.
- Creating sales opportunities for future events during client liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities
- Planning multiple events at once
- Sourcing new clients and securing events for the yearly caledar.

**Salary**: From R7,000.00 per month

Ability to commute/relocate:

- Bela Bela, Limpopo: Reliably commute or planning to relocate before starting work (required)
