A leading KZN-based Radiology company is looking for a Hillcrest Medical Secretary will offer administrative support to the Busamed Hillcrest Private Hospital Branch.
The Requirements & Duties are as follows:
- Management of patients accounts including but not limited to:
- Verify and export account details o Accurate data capturing/ verification of supporting documents (ID, medical aid card, credit card)
- Manual record of card transactions and trial patients
- Accurate and accountable cash box handling
- Acquisition of previous examinations
- Electronic communication of queries and payments to accounts department
- Verification and submission of all information for medical aid, WCA, RAF and distinguish accurately between WCA, RAF, medico legal, medical aid and trial cases
- Source correct information
- Print statements with correct information
- Hand statements to patients
- Handling of bad debt accounts with diplomacy
- Assist with queries from Maxwell, Drs’, staff and patients
- Ensure documents are copied, filed, patient files are created and accurate filing of documents and binding
- Patient and hospital liaison, liaison with doctors, receptionists, radiologists, etc.
- Ensure professional telephone etiquette and timeous response for switchboard function at all times
- Assist in managing collection of fees and submitting doctor’s takings
- Manage accurately monthly and daily cash flow, including doctor’s takings
- Correct capturing of month end totals
- Ensuring a clean and hygienic working environment and ensure work station is cleaned frequently
- Ensuring accuracy of records for daily payments
- Responsible for recording bookings on the white board on a daily basis
- Checking after hour cases for reporting and follow up of feeing
- Where necessary explaining of procedures to patients, ward visits, accurate booking of procedures with explanation and appropriate patient preparation
- Inform doctors of specialized procedures liaising with ordering of equipment
- Put on ultrasound patients in absence of General Assistant and enter patient details
- Ensure rosters are submitted to Hospital switchboard
- Assist with occasional deliveries, when necessary
- Submission of administration documents and timeous completion of administration duties
- Compliance with reasonable requests from Radiologists
- Minute taking for meeting
- Feedback to staff after departmental meetings
- Assist with departmental and administrative function
- Monitor and record visitors to department including vendors
- Identify and assess patient need
- Ensure patients well-being, maintain excellence in patient care
- Advise patient accordingly to Time / Procedure / Cost / authorization / delays
- Manage flow of patients
- Prioritize according to patient’s conditions and booking status
- Complete appropriate documentation
- ICD code verification with accuracy and validity
- Verify patient details
- Keep patient informed of details
- Hand patient over to appropriate person
- Obtain authorisation, checking of benefits and procedure code/s
- Keep accurate record of handing over x-rays, Drs’ expenses
- Important medical information from patient must be recorded - LMP, allergies, etc.
- Liaison with ambulance and transport services to facilitate timeous patient discharge
- Facilitate completion of patient response cards
- Facilitate with problem solving, diplomatically and professionally
- Timeous completion of tasks with priority given in order of importance and urgency
**Minimum experience required**:
- Matric
- Minimum of 1 year in a Porter role (health/ medical industry)
- Ability to work over weekends
- Minimum of 2 years relevant experience in the health / medical industry
- Computer literate
- Good interpersonal skills and telephone etiquette
