Facilities and Fleet Management Coordinator

**Work Description**
The Facility and Fleet Management Coordinator assist the Corporate Operations Managers in the management of Facilities, Fleet and Assets. The Facilities and Fleet Management Coordinator is responsible for Supply Chain Management: Sourcing and Requisitions and Security and Risk relating to Facilities, Fleet and Assets Management.
**Duties**
- Facility Management - supporting the Corporate Operations Managers with Facilities related duties:
- Assist with Site Setups, Site Operations and Site Closeouts.
- Assist with the Supply Chain Management aspects of leasing premises which includes the Offer to Lease and Lease Agreement loading onto the Aurum Contract Management system.
- Supply Chain Management and Requests for Quotations and uploading Service Level Agreements onto the Aurum Contract Management system.
- Supply Chain Management Requests for Quotations and uploading quotes onto the Aurum ERP System.
- Facility Surveillance - daily checking that all site cameras are operational and logging calls for cameras to be checked/repaired.
- Conducting general investigations and providing incident reports.
- Supply Chain Management Requests for Quotations and uploading quotes onto the Aurum ERP System.
- Fleet Surveillance - daily checking that all fleet cameras are operational and logging calls for cameras to be checked/repaired.
- Conducting investigations and providing incident reports.
- Request for Quotation for Facility related equipment i.e., generators, water tanks, air conditioning, temperature monitoring, UV lights etc.
- Requests for Quotations for services and products
- Record all potential costs savings on the Corporate Operations SharePoint Dashboards.
- Filing of all relevant documents onto the Corporate Operations SharePoint Site and One Drive Shared Folders.
- Fleet Management - supporting the Corporate Operations Managers with Fleet related duties:
- Asset Management:
- Supply Chain Management
- Records Management:
- Policies and Standard Operating Procedures - adhere to all departmental and company policies, standard operating procedures, working practice guidelines and How to Guides.
- Write Policies and Standard Operating Procedures. Review and edit working practice guidelines and how to manuals. Conduct annual reviews of Policies, SOPs, WPGs and How to Manuals.
- Comply with all health and safety policies, practices, and procedures according to prescribed legislation. Assist Site Operations Managers with engaging with contractors for their site safety files.
- Effective communication with internal and external stakeholders.
**Education**
- Grade 12
**Experience**
- Three to Five years’ experience in a similar role
- Financial - Supply Chain Management
- Security - Facilities surveillance and investigations (Advantageous)
- Security - Fleet surveillance and investigations (Advantageous)
**Requirements**:
- SA Citizen or valid work permit to work in South Africa
- Valid SA Driver’s License (Essential) - First Issue Older Than 12 Months with Driving Experience
- Frequent Travel by Land or Air
- Willing to work overtime
**Essential Requirements**
- Project Management skills

- Proficient in Microsoft Office skills (Excel, Word, PowerPoint) with a high level of PC literacy
- Time Management skills
- Report writing skills
- Highly proficient in English (Spelling and Grammar)
