Main purpose of the job:
The role is responsible to:
Ensure all Pharmaceutical and related activities in the company's Dispensary are undertaken and are following acceptable national and international cGMP principles and legislation as well as GMP guidelines

Ensure that the Dispensary complies with all requirements for which it is licensed

Ensure there are systems in place to monitor legal obligations in terms of the license to be maintained

Ensure accurate dispensing of TPN bags

Ensure adequate stock holding of TPN on a national level

Assist with the production planning process

Make sure that GPP is complied with within the Dispensary

Investigate customer queries and events logged as and when they arise

Key Performance Areas:
Preparation of TPN Stock for Delivery to Hospital Pharmacies:
Accurate dispensing of TPN according to orders received

Verification of correct dispensing (QC and Final checks are completed and signed off on tracker label)

Adherence to Good Pharmacy Practice, Pharmacy Act and Medicine and Related Substances Control Act always

Adherence to all company SOPs and guidelines

Ensure traceability of all TPN dispensed to patients according to the hospital admission number and the doctor prescribing the TPN

Ensure that the TPN bags which are returned from the customers and the branches are handled in an appropriate manner

Supervise the drivers with the planning of trip sheets and routes

Liaise with the couriers for far out and branch deliveries

Ensure that the final invoicing is correct

Ensure that Government Orders are issued with valid purchase orders from the various provincial depots

Where manual delivery notes are issued to Customers, follow up as soon as possible so that these sales can be invoiced

Stock management:
Stock levels of TPN need to be maintained and stock distributed equitably between the branches according to usage

Assist the Production and Marketing Teams in order to maintain stock levels at acceptable levels via communicated meetings

Continuous interaction with the Sales Team for Gauteng, North West, Mpumalanga and Limpopo to inform them of any stock outages so that there is the minimum disruption to the business

Ensure FEEFO is always applied where appropriate

Issue Branch Stock according to expiry dates and stock levels

Manage the non-standard TPN orders from the branches and any home patients within Gauteng

Ensure that stock that is marked for destruction is kept in the demarcated area in the cold room and is sent for destruction regularly

Ensure that the freezers are packed with ice packs and that conditioning is done for 48 hours

Advise Validation Department on any Deepwave excursions

Complete weekly cycle counts on a stock rotation basis covering all the codes in a calendar month

Liaise with the Head of Supply Chain re the annual stock take to be held in Nov/Dec and make sure that all staff in the Dispensary are informed

Customer Focus:
Ensure that there is continuous contact with Hospital Pharmacies, as well as internal customers such as the Marketing, Sales, Quality and Production Teams

Update Customers as soon as there are any changes envisioned that will affect the level of service that they receive from the TPN Dispensary

Build relationships with key customers both in the private and the public hospital pharmacies

Human Resources:
Manage staff issues as they arise

Keep staff motivated and working as a Team

Ensure all staff are trained as per job function and company requirements

Establish training needs for staff and follow up on training being done

Staff administration with respect to timekeeping, overtime and leave

Monthly rosters are maintained to ensure that the Dispensary is fully staffed over weekends and public holidays

Effective recruitment and selection of new employees

Make sure all staff have current job descriptions and that they are looked at and updated regularly

Performance reviews are updated annually and completed timeously

Compliance:
Compliance with the Medicine and Related Substances Control Act

Ensure that all systems required by GMP/GWP/GPP are in place and complied with by continual review of current processes

Implement corrective actions resulting from either external or internal audits

Regular updating of Dispensary SOPs as the business needs change to ensure all processes and SOPs are current and effective

Compliance with all SHE policies and SOPs

Budget:
Ensure that the Dispensary expenses are controlled within the budget as given by Finance Department

Motivate for CAPEX as and when required in the Dispensary at the start of the new financial year

Reconcile courier accounts and load invoice onto SYSPRO timeously

Report any discrepancies to Head of Supply Chain
