Duties/Pligte- Coordinating major and priority projects in the Responsibility Centre (RC) in an evidence-based and data-informed manner.- Maintaining and monitoring project plans and project schedules and ensuring that project deadlines are met.- Developing project strategies, determining project changes, and undertaking project tasks as required.- Assessing project risks and issues and providing solutions where applicable.- Constantly undertaking, gathering, managing, distilling, and gathering information or research relating to various inter-divisional and interdisciplinary projects
across the RC in relation to the portfolio.Attending a variety of internal and external meetings/talks/sessions on behalf of or along with the Deputy Vice-Chancellor: Research, Innovation, and Postgraduate
Studies (DVC: RIPS).Providing support as part of the information-gathering process.- Participating in project design meetings and recommending improvements if needed.- Collaborating with various role-players to advance evidence-based and data-informed internal and external reporting about central themes in the RC.- Providing grant writing support, including writing reports following strategic engagements with internal and external industry/business partners.- Mapping the industry/business/corporate and quad-helix partners involved in research and innovation partnerships with a view of supporting the DVCs office on
stakeholder engagement.Sharing relevant documentation and reports with project teams and communicating the project's progress to team members and other stakeholders.- Maintaining liaisons with deans, Faculties, students, and staff on different platforms.- Providing professional advisory support and guidance.- Stakeholder engagement support with external and internal stakeholders, project sponsors, and other key persons.- Staying abreast of current developments related to projects in the RC through constant and focused research, and ensuring that such developments are
consistently and accurately reflected in written communications submitted to the DVC: RIPS.Specifically compiling various reports in collaboration with the Deans, Directors of Schools, and Senior Directors of the RC for submission to different stakeholders,
such as the Rectorate, Council, Senate, funders, and key sponsors.-
- Assisting with agenda setting, planning, and scheduling of core meetings of the RC: RIPS, and managing action items forthcoming from these meetings/
engagements.Liaising with the personal assistant to the DVC: RIPS to synchronise all major projects in line with the regular, day-to-day administrative processes.- Ensuring effective communication and information flow in the RC of the DVC: RIPS by establishing effective communication channels and practices both with
internal and external stakeholders.Creating, implementing, and monitoring operational processes to facilitate the smooth functioning of the office of the DVC: RIPS.- Providing or coordinating office management/operational information, as required by the DVC: RIPS.- Assisting with coordinating proposal writing for inter-institutional/industry grants in collaboration with various external and internal partners.- Specifically monitoring and analysing policy materials on topics that the DVC: RIPS is required to communicate on with relevant stakeholders.- Being a point of contact for various working groups.
Job Requirements/Pos Vereistes- Relevant Masters degree in the field of business communication, science, data science, journalism, or a related field of study.- Experience in handling data and knowledge of databases will be an advantage.- Five years' related higher education/corporate experience.- An in-depth understanding of project management principles with the ability to coordinate multiple projects simultaneously.- Experience in researching, information-gathering, and the distilling of such information.- High-level experience in report writing (all forms on various platforms), especially within academic environments. This assumes proper language use and the
ability to organise and formulate thoughts and ideas into logical and engaging outputs.The ability to interpret and interact with complex and nuanced environments and networks.- The ability to coordinate a multitude of projects on varying levels of responsibility and accountability.- Excellent organisational skills, with the ability to prioritise work to meet deadlines.- The ability to work as part of a team.- The ability to multi-task.- Exceptional verbal and written communication and presentation skills.- Exceptional interpersonal skills and the ability to build, grow and maintain networks.- The ability to take direction.- Meticulous execution of functions and attention to detail.
