Customer Service Advisor

**Purpose of the job**:
To strive in providing customers with a professional service experience, whilst ensuring adequate communication between customers, parts and service departments in achieving customer satisfaction goals.
**Description**:
- **Preparing for the arrival of the customer**:
Liaising with customer and confirming when warranty/motor plan arises, preparing quotations, pre-assessing bookings, following up on parts ordered, creating repair orders, arranging booking reminders and confirming availability of drivers or loan vehicles for customer.
- **Taking care of customers at initial consultation upon arrival**:
Welcoming customers and introducing the service professionally, confirming customer and vehicle details/service repairs, confirming payment method, discussing transportation arrangements/vehicle collection and ensuring customer signs relevant documentation to be processed to costing clerk or foreman.
- **Ensuring accurate warranty and motor plan details on system**:
Confirming vehicle warranty/motor plan status/services due and ensuring service action where necessary for allocation to foreman.
- **Updating dealer management system, tracking all vehicles and updating the control systems**:
Ensuring all work reflects on repair order, updating vehicle details and updating customer/vehicle information where necessary.
- **Liaising with Customers**:
Ensure customers are updated regarding vehicle status, workshop information, potential problems, additional work, obtaining cash authorisations and vehicle availability throughout the process.
- **Ensuring accurate invoice payments**:
Liaising with car rental companies/insurance companies or debtors for order numbers, preparing quotes, attaining motor plan and warranty authorisation.
- **Vehicle Handover**:
Raising repair orders, following up on job status, receiving and processing invoices, updating control sheets, performing spot checks, ensure customer signs relevant documentation/motor plan warranty invoice and ensuring payment is received and service system is updated.
- **Customer follow-up and reminders:
**Ensuring customer service reminders, communicating professionally with customers regarding vehicle service and complaints and calls are logged with customer comments.
**Critical Skills and Requirements**:
- Senior Certificate (Grade 12)
- Computer literate (Office suite)
- Driver’s license
- Motor dealership industry (technical experience)
- Technical Qualification
- Presentable
- Professional and excellent communication skills
